EMPLOYEE CLOCKING INSTRUCTIONS

TO CLOCK IN OR OUT AT A TIME CLOCK:

Swipe your UAMS badge slowly downward with picture facing wall; the side with the magnetic stripe will face you. If downward swipe does not work, swipe the badge up from the bottom of the clock.

GOOD PUNCH : If the terminal reads the badge successfully, the green LED on the top cover of the terminal will light and the clock will emit a single tone. You may see

·  your name on the display panel: this is a valid punch

·  “X-PUN” for cross-punch: this is also a valid punch

BAD PUNCH: If the terminal fails to read the badge, the yellow LED lights and the clock will emit three tones in quick succession. You should also see an error message. If this happens,

·  swipe again slowly and/or up from the bottom of the reader until you get a “good” read signal

·  notify your supervisor or timekeeper immediately that your badge does not work properly.

TO CLOCK IN OR OUT USING A TELEPHONE (978-1600)

Entry of time by telephone is restricted to those who are not near a time clock: your supervisor will inform you if you are to use the telephone to access the Accutime system.

·  Call the Accutime system at 978-1600 (use 8 and all digits from internal phones);

Accutime will say welcome and announce the current time

·  Enter your 6-digit badge number and press pound (#). Note: you may have to press

“send additional digits” button or “9” from some phone units.

·  Press 1 to clock in or out: Accutime confirms the time and “punch accepted”

·  Press 2 to change cost center:

Enter the 3-digit department number at the prompt

Enter the 4-digit sub-department at the prompt

Enter # to confirm

·  Press 3 to use Call Back or Education:

Enter 1# to record “in” for Call Back

Enter 3# to record “in” for Education

Enter # to confirm

You do not have to wait for the prompts if you know the sequence: you may enter data at any time. You may be able to program an entire sequence such as “clock in or out” as a speed dial on your phone, including number called, badge number, and choice(s).


FUNCTION KEYS:

F1- “BACK” or CALL BACK - This will be used when an employee who is “on call” is called back to work.

Press the F1 Key which is labeled Back on each clock

Swipe your badge normally to clock in.

Swipe out as normal upon departure.

When using the phone: Press 3 for Call Back or Education

Press 1# for Call Back and confirm with #

F3 - “EDUC” or charge my hours to “EDUCATION” - This allows your hours to show as “education” hours:

Press the F3 Key which is labeled EDUC on each clock

Swipe your badge normally to clock in

Swipe out as normal upon departure OR

Swipe again when you return to your home unit

When using the phone: Press 3 for Call Back or Education

Press 3# for Education and confirm with #

F4 through F12: COST CENTER CHANGES - Normally, your hours are charged against you “home cost center”. However, when you work a unit other than your home unit, you must for press the “F” key for the unit you will be working.

To clock in at start of shift on a different unit:

Press the F Key labeled for the unit you will work

Swipe your badge normally to clock in

Swipe out as normal upon departure OR

Swipe again when you return to your home unit.

To clock in to a new unit after working on your home unit:

Swipe in at the clock in to your home unit as normal.

Leave the home unit and walk to the new unit.

Press the F Key named for the unit you will now be working

Swipe your badge to clock “in” to the new unit (automatically “out” of home unit)

Swipe again as normal upon departure OR

Swipe again when you return to your home unit.

When using the phone: Press 2 to change cost center

Enter 3-digit department number and 4-digit sub-department number

Press # to confirm
