How to add a Destination (email address) to the Ricoh Address Book
Print out these instructions and take to the Ricoh. Follow all steps in exact order. Do not skip steps or the Destination will be programmed incorrectly.
Method 1—strongly recommended—starting from Search of Barnard’s email directory
This method avoids typos! Press [Cancel] at any time to start over.
- PressScanner option and enter your User Code if required.
- Find the email address by Search of Barnard’s email Directory [Search Instructions Link] until the correct email address is displayed on screen. Press OK.
- PressPrg.Dest.,which appears on the right side of the screen, above [To…Cc…Bcc].The email address you searched willdisplay under the Email tab.
- PressNames. The name matching the email address will be displayed automatically.
- Next toKey Display, either use the same name as above or pressChange to enter a nickname to be displayed on the screen—up to a maximum of 12 characters for Key Display.
- To the right of Title1, pressthealphabetical group tab associated with your Department name: e.g., Press [AB] for Admissions, [EF]for English, [OPQ] for Provost, etc. If this is a hallway machine used by people from multiple departments, de-select Frequent so it is not highlighted. (A limited number of names can appear on the Frequent screen. Be a good citizen and use the Frequent screen only if the Ricoh resides in your department office!)
- Press OKand the Destination is now programmed into the Address Book. The name will appear under the Alpha tab group for the Department.
Method 2—starting from Manual Entry of email address
- Press Scanner option and enter your User Code if required.
- PressPrg. Dest.,which appears on the right side of the screen, above [To…Cc…Bcc].
- Press Change to the right of the blank email address. Enter the send-to email address you wish to program.Press OK. Be very careful when entering text! Only a Print Services administrator can delete entries in the Ricoh Address Book. (This is why we recommend Method 1 above.)
- PressNames.
- Press the top Changetab; enter the full name associated with the email address. Press OK.
- Next to Key Display, either use the same name as above or press Change to enter a nickname to be displayed on the screen—up to a maximum of 12 characters for Key Display.
- To the right of Title1, press thealphabetical group tab associated with your department name: e.g., Press [AB] for Admissions, [EF]for English, [OPQ] for Provost, etc. If this is a hallway machine used by people from multiple departments, de-select Frequent so it is not highlighted.
