Title of Post:Finance Manager

Reporting to: Head of Finance, Premises & IT

Responsible for: Finance Officers and volunteers

Location: 12 Adelaide Street, WC2N 4HW


Job Purpose:

  1. To manage Financial Accounting functions
  2. To manage the Finance Officers and finance function
  3. To produce monthly TB and prepare annual accounts schedules
  4. To assist the HoF producing monthly management reports
  5. To oversee payroll submissions to external provider

Salary:£36,912-£42,651

Scale Range:PO3/438-44

Main duties & responsibilities

  1. Financial accounting
  • Ensure prompt and accurate processing of transactions across finance
  • Ensure continuous improvement of systems and processes
  • Ensure procedures and processes are documented in a useable way
  • Lead on Treasury Management, credit card management and bank liaison
  • Review and manage aged debtors and aged creditors
  • Preparation of cashflowforecasts
  • Maintain an overview of client grants
  • Authorise change of supplier bank details
  • Check and authorise petty cash, travel cards & vouchers
  • Management of Finance System
  1. Staff and general management
  • Manage Finance Officers and volunteers in accordance with CSTM’s HR policies and procedures
  • Provide day to day support and supervision, goal setting and evaluation
  • Undertake analysis of training needs in respect of both internal and external training for Finance Officers
  • Ensure communication within the Finance team and with other teams are maximised and efficient
  • Involvement in the recruitment and induction of Finance Officers, students and volunteers
  • Ensure all records including any time sheets, annual leave and sickness absence are properly maintained
  1. Monthly Trial Balance and month/quarter end procedures
  • Ensure Balance Sheet control accounts are reconciled on a regular basis
  • Ensure bank accounts are accuratelyreconciled in a timely manner
  • Take action to prevent reoccurrence where arecurring error has been found
  • Lead on preparation for annual accounts and schedules
  • Oversee monthly meeting with the Friends of the Connection to reconcile income
  • Ensure Gift Aid is claimed regularly
  1. Assist in production of Monthly Management Accounts
  • Production of Finance System [currently SAGE] or Excel reports
  • Investigating highlighted problems with managersand implementing any relevant corrective action
  • Helping managers understand particular elements of their expenditure
  • Input into monthly income meetings and liaise with fundraising team
  • Support budget setting process
  • When appropriate, to present findings or plans to SMT meetings or Finance & Fundraising Committee meetings
  1. Payroll and Pensions Submissions
  • Submission of monthly information to payroll provider and organising the checking of returned payment file within agreed timescale
  • Liaise with payroll provider to ensure CSTM receives an effective service
  • Maintain payments to pension providers
  • Lead improvement in processes
