Imperial College has a legal obligation to ensure that all prospective employees and casual workers have the right to work in the UK before they commence employment and work within any restrictions prescribed by their visa. It is the responsibility of Tier 4 student workers and their line manager to ensure compliance with visa conditions.
Parts 1 and 2 of this form must be completed by the Tier 4 Student and provided to Recruiting manager.

  • MBBS: please print a copy of the MBBS variations to College term datescovering the full duration of yourdegree programmeand enter the following details below to indicate which of the dates apply:

Research (PhD) students are considered to be term-time throughout their programme. When you have completed all academic requirements (when yourfinal PhD thesis has been submitted),you will need to request a letter fromStudent Recordsoffice via email, the letter will then be sent to both you andyour recruiting manager.

Students sponsored by another education institution
If you are a student sponsored by another institution please attach one of the following to this form:

  • A printout from youreducation institution’s website or other material published by the institution setting out its timetable covering the full durationyour course/programme; or
  • A copy of a letter or email addressed to you or the recruiting manager from your education institution confirming term time dates coveringthe full duration of yourcourse/programme
  1. Student Declaration:
  • I understand that I am permitted to work on a restricted basis normally up to a maximum of 20 hours per week during term-time (recorded as Monday to Sunday) and full-time during vacation periods.
  • I understand my responsibility in relation to this and will not accept more than the maximum total number of weekly hours permitted.
  • I understand that any work (or voluntary work) I have outside the College also counts towards this limit.
  • I understand that any breach of my visa conditions (e.g. working more than 20 hours per week during term-time) is considered a serious immigration offence, will be reported to UKVisas & Immigration (UKVI),which may result in my visa being curtailed, and must be declared on any future UK visa applications
  • I understand that it is my responsibility to check when I have any questions regarding my right to work to seek advice from the International Student Supportteam or phone 020 7594 8040, or to check with UKVI

You are required to review and retain this form and evidence of the Tier 4 Student’s term and vacation dates as part of the pre-employmentRight to Work checkusing the RTW Checklist.

Scanned copies of the completed RTW checklist and RTW evidence,including this form and any additional evidence of term and vacation dates, should be attached to the Pay8A form before sending to Payrollor signed contract of employmentbefore sending toyour local Human Resources team.

Please note:

  • Withoutevidence of term and vacation dates, the RTW check will not provide the College with a statutory excuse against any Civil Penalty Liability.
  • Additionally, unless the term dateevidence covers the full duration of the student’s course, it willneed to be reviewed on an annual academic year basis. The recruiting department is responsible for carrying out this repeat check when required.
  • Having evidence of the Tier 4 student’s term dates will also make it easier for you to know when a Tier 4 student worker is permitted to work part-time (20 hours per week Monday to Sunday)or full-time.
