5. REPORT FROM AREA COMMISSIONERS – GOALS FOR THOMPSON NICOLA AREA

  • Area Co-Commissioners, Anne Cameron and Mary Lester, have left a commendable legacy for Thompson Nicola Area. With changes in Area Co-Commissioners during this period of growth and learning, the support and patience of everyone is requested.
  • Area Council Meetings: District Commissioners Round Table 8:30 a.m. – 9:30 a.m.

Full Council Meeting 9:30 a.m. – 1:00 p.m. No lunch.

  • All Council members are requested to read circulated material prior to the meeting.
  • TNA Council focus is on providing support for the Units and Districts.
  • Suggestions on Area events are welcome and invited from Units
  • Encourage camping, especially Unit camps. Encouragement ideas and suggestions requested.

6. REPORT FROM PROVINCE

  • Registration process
  • OAL Adventure Camp Training weekend at Camp Kanaka March 1-3, 2013. Recommended prerequisite is completion of standard OAL and be working with girls who are attending adventure camping events. Five Guiders from TNA may attend by application process. Application deadline December 21 to Area; December 31 to Province. Camp committee will make selections. Cost of $100 per Guider paid by District funding. No additional Area or Provincial funding.
  • Provincial crest contest – look for details in Pipeline.

7. ACCESSIBILITY TRAINING

  • Accessibility policy read by Tara Decker. District Commissioners are to read policy at their next District meeting.

8. AREA MEMBERSHIP NUMBERS

Girls members – 373. Rangers and transitioning members – 15. Total girls - 388

Adult members – 147.

Girl membership down by 69 girls.

  • IMIS Advisers prefer contact by the District Commissioners in communicating changes required to rosters. Girls changing units require a letter or email with parental consent.
  • IMIS membership reports distributed to District Commissioners by Joyce Perrie. Send any changes to Joyce. All members are counted in IMIS. IMIS will update MemberZone rosters.
  • Pat Robertson expressed concern about adult non-members without Police Record Checks.

9. EVENT REVIEW

  • Remembrance Day
  • Blazer's Hockey Night on November 24 was cancelled. Will consider an option for members to attend a game at a reduced rate next year.
  • Teddy Bear Toss: 35 seats available. Question regarding the fair distribution of those seats. Suggested preference is for third year Guides.
  • Senior Lights Tour – December 20, 2012
  • Snowball – January 12, 2013 at TRU Grand Hall.
  • Thinking Day. Mairi MacKay is committee head. One representative is required from each District and anyone else interested.
  • Spark and Brownie Area Camp in April. Discussion on cancelling camp to encourage unit camps was not accepted. Discussion on combining camp with OAL training. Committee members needed.

Send booking requests for Camp Selhowtkan to Janet Simmons. Dates for 2013 are now open. The booking form is on the Area website.

  • Girl Awards. June 1, 2013 combined with Area meeting.
  • Nite Trek – May 4, 3013, at Harmon Lake near Merritt. Girls must be age 11 as of June 1, 2013.
  • Suggestions that events with age restrictions should have a set date e.g. January 1 or by program level.
  • Trefoil Guild Fun Day – March 9 2013. Send requests for particular topics to Deb Desjardins.
  • Hands Across the Border. Not supported as an Area event this year.
  • Science Camp information requested.
  • Pathfinder Winter Camp, January 2013.
  • Area Guide and Pathfinder Camp. August 6-10, 2013.
  • Pathfinder Summit and Pathfinder Summer Camp. Pathfinders attending can apply for assistance.

10. FINANCIAL REPORT

  • Comparative income statement and balance sheet distributed.
  • 2013 Financial Guidelines Review

#1 Membership Fees: no change

Girls must be 19years of age to be a Link member. Transitional members have completed Pathfinders but are under the age of 19.

#3 Camp Charges:

The campership reimbursement reduces the bed night fee to $5. No maximum has been set for camp rental fee. Camp day use is $5 with no campership reimbursement.

$50 booking fee will not be refunded if keys and equipment are not returned within 2 days after camp ending.

#5 Area Meetings:

Travel allowance of 40 cents per km. Area expense form on website.

#8 Area Trainings:

Districts will be billed for all training fees

#11 Registration Fees to remain the same

MOTION by Angie Hundey to amend the 2013 Financial Guidelines as discussed. Seconded by Rebecca Anderson. Carried.

  • Financial Requests

Blazing Sages Guild request for Area financial assistance toward 2014 BC Guild Rendevous at Hotel 540 in Kamloops. Defered to September 2013 budget.

  • Allocation of cookie funds from Membership Committee sales

Public Relations – Adviser needed.

International – Shar Puhallo

  • Area wide incentive for fundraising for CWFF. Challenge goal is $5 per member.

MOTION: by Sharlene Puhallo that “$100 in funds will be allocated as a prize incentive for a 2013 CWFF challenge. The $100 will be rewared to the unit raising the most money per member for CWFF. The deadline for submissions will be April 30, 2013.” Seconded by Laurie Card. Carried.

Campsite - Brenda Edgeworth

MOTION: “I would like to make a motion that Thompson Nicola Area, through its campsite committee, apply for a grant from Rotary Club of Kamloops Daybreak for an archery range at Camp Selhowtkan. Seconded by Jean Nelson. Carried.
