THE CHRISTMAS GRAND SALE at THE RHH,

16th – 18th November 2017

HALL ADDRESS

The event takes place in the The Lindley Hall which is situated on Elverton Street, London SW1P 2QW where the main load-in goods entrance is also situated.

EXHIBITOR BUILD DAY – Wednesday 15th November

The venue will be open from 1pm – 8pm on Wednesday 15th November for you and the other exhibitors to stock and dress your stands. The Charity Evening is on Thursday 16th November (see “Hours of Opening” for further information).

NB Please note that the area around the halls is part of the Central London Congestion Charge Zone. There is a daily charge of £11.50 for vehicles entering this area between 7am and 6.pm Monday to Friday. You can pay this charge in the following ways: a) Online at www.cclondon.com b) by phone 0343 222 2222 c) by text but you must register first.

You can pay on the day but if you leave it until the day after it costs £14 and if you do not pay by the end of the day after you will receive a charge notice that could carry a fine of up to £130. Best to pay on time!

LOADING AND UNLOADING

Unloading and loading are done via the goods entrance on Elverton Street though there is another, smaller load-in entrance on Vincent Square itself which is suitable for stands 71, 72, 73, 74, 75 and 76.

During this time some parking meters around the hall will be suspended. Exhibitors must display a temporary parking permit in their vehicle windscreen on arrival at the venue. Permits are available from the hall’s traffic marshall who will be on duty outside the hall. A £20 refundable cash deposit is required. Vehicles parked without a permit in the window do so at their own risk. Please note these permits are for the unloading period only and do not allow for any permanent parking (for this see parking information below). There will be porters to assist with unloading (although at busy periods there may be a wait as they may be taken up with other exhibitors). You have until 5.30pm to finish stocking and dressing your stand.

PARKING

Please see our website for information on the Horseferry Road car park at the preferential rate of £26.60 from 9.00 am to 6.00 pm or 24 hours for £27.30 per car; You will need to use the following link to their website for on-line pre-booking parking:

https://www.q-park.co.uk/parking/parkingid/33638 and use the discount code “RHS” to receive the discounted rate. Horseferry Road is a couple of minutes walk from the venue but can only accommodate cars and smaller vans (height restriction is 2.1m or 6’ 8.5”). Some large models like Range Rovers cannot be accepted due to height restrictions.

Parking for larger vans, hi tops and box Lutons is available about 6 minutes drive away at the Britannia Car and Van Park on Upper Marsh just across Westminster Bridge (take Elephant & Castle turning at the roundabout) and first turning right immediately after you have crossed under the bridge carrying the Waterloo mainline (see map on our website). The parking rate there for cars is £10.50 for 24 hours and £12.50 for vans for 24 hours. It is about a 15-minute walk from this van park back to the Horticultural Halls. Payments have to be made in cash and you cannot book in advance.

Parking in the area around the halls is free after 18.30 hours during the week. Between 08.30am and 18.30pm Monday to Saturday inclusive you cannot park in resident’s parking bays. There are parking meters in the area which operate on weekdays £2.40 per hour (Monday–Fri 8.30am–6.30pm). On Saturday you may park on single yellow lines, on parking meters and in pay and display bays around the Halls without penalty. During weekdays parking meters and pay and display bays have a varied maximum parking time of either 2 or 4 hours. If you overrun on a meter you will be fined, currently £80. NB Most of these meters now operate on a pay-by-phone basis. This effectively means that you need an operating mobile phone with you if you want to use them. It will save time and complications if you register your credit card/debit card online in advance on the Westminster City Council parking website, to do so click on http://www.westminster.gov.uk/services/transportandstreets/parking/wheretopark/pay-by-phone-parking/

The area around the Hall is a residential area. Please do not park in residents parking bays and do not obstruct entrances or exits. It is an offence for any vehicle to obstruct access on the public highway, as is double parking and parking on double yellow lines. The hours between 1800 and 2300 are considered a protected time for noise.

PUBLIC TRANSPORT

The nearest mainline station is Victoria and the nearest underground stations are St James Park and Victoria. The London Transport information no is: 0207 222 1234.

SECURITY

There will be two security guards on duty on the Exhibitor build day and also a guard on duty overnight on the 18th and every night through to Saturday. During the sale days there will be two security guards on duty during sale hours.

HOURS OF OPENING TO EXHIBITORS

On the main sale days of the 16th, 17th and 18th, the Hall will be open for Exhibitors to re-stock their stands from 8.00am and the show is open to the public from 10.00 am-5.00pm, except on Thursday 16th when it re-opens at 6.00 pm for the Charity Evening from 6.00 pm to 9.00 pm and the 18th when it opens at 9.30 am. Exhibitor badges will be sent to you seven weeks before the show and must be worn at all times so that you can gain entrance. On Thursday and Friday evenings the hall will close to the public at 5.00pm but will remain open for exhibitors to re-stock until 6.30pm. On the charity preview (Wednesday 15th) evening the hall will close to Exhibitors at 9.40 pm.

NAME BOARDS

We will supply a nameboard to go on the fascia above your stand. It will be the business name we normally know you by. However, if the name you are using at the sale is different to your usual operating name, can you please make sure to inform Noelle (fax: 01367 860177 or email ) so that it appears as you require on the fascia and in the show brochure as well. The brochure goes to press 2 weeks before the event so please do this in good time.

TABLES AND CHAIRS

Tables and chairs should be booked in advance by using the order form on the website. Chairs are supplied free but there is a hire charge of £5 plus vat (£6.00) per table. Please post the completed form back to us at the address indicated along with a cheque to cover the hire fee. We will send you a receipted invoice by return.

LIGHTING and ELECTRICAL SUPPLY

There is lighting in the Hall but you may wish to use extra spotlights or fluorescents on your stand.

  1. If you have your own spotlights and wish to bring them and have them fitted by our contractors please ensure that:

·  You have ordered the relevant plug socket outlet for your fitting from our electrical contractors, Showlite Limited (see Electrical Order Form on the website)

·  Your fittings are in full working order and have been tested by a competent person

·  The leads are of sufficient length to reach a power point

·  All fittings have 3-pin fused plugs

·  You have filled in the Electrical order form and returned it along with your cheque to “Showlite Limited”

  1. To have your stand connected up to the mains and fitted with an electricity socket and/or to hire light fittings you will need to complete the electrical order form and return it along with your cheque to “Showlite Limited”.

SHELL SCHEME

Shell scheme extras can be ordered from Intershell Systems Ltd, the stand fitters, using the order form on the website. Please ensure that any extras you may wish to order for your stand are ordered, and paid for, before the event. NB If you want a night sheet, bring your own fabric about a quarter of a metre wider than your stand width. You can staple it to the front of your stand. The stand panels are wooden and painted white. TELEPHONE LINES and WIFI

Portable phones work perfectly well within the Hall. Alternatively, you can hire (or buy) a mobile pdq that works via the mobile phone system. 123 Send are one of the market leaders in this area tel: 0870 2030 123. Their website is: www.123send.net . Remember, as a back up in case of failure, to bring a manual swipe machine and the appropriate vouchers if you wish to take credit cards. Wifi is provided free – on internet explorer select the RHH wifi and in the dialogue box that comes up insert the username: rhsevent and the password: 1245 to log on.

STORAGE

There is storage available in the basement, which is accessible by a smallish goods lift from the front of the main exhibition hall. This storage area will open from 8.30am on the sale days and there will be a security guard posted there.

HEALTH & SAFETY/EXHIBITOR INSURANCE

You must have with you at the show a photocopy of your public liability insurance certificate (minimum of £1 million) and a copy of your completed Health and Safety Risk Assessment regarding your stand at this event. You can download the Risk Assessment Form from our website and you can also view a sample Risk Assessment statement to help you with this task.

There are various insurance companies offering tailored packages for exhibitors to cover the sort of risks involved in shows. Two of these are:

Please note that in the venue the gangways and aisles and all fire exits should be kept clear at all times. There is no smoking during the event opening times and the distribution and display of printed or other placards, handbills or circulars except by exhibitors within the confines of their own stands, is prohibited.

OVERNIGHT ACCOMMODATION

COMPLIMENTARY TICKETS

40 complimentary tickets will be sent to you seven weeks before the show, for inviting your special customers.

STAND BREAKDOWN

Please remember that the sale is advertised as running from 9.30am to 5.00pm on Saturday 18th November. Stands should not be broken down and boxes wheeled back and forth until 5.00pm. To do so is a breach of the Health and Safety regulations pertaining to public events and makes us liable to prosecution in the event of any accident taking place. Porters will be on hand to assist as far as they can at breakdown. However, when everybody is leaving at once, they can’t be there for everybody.
