Minutes for October 14, 2015 Board Meeting

Shadow Ridge Country Club

Call to Order at 6:28 pm

President Ramsay called the meeting to order. Those in attendance and constituting a quorum wereSusan Ramsay, Abby Devin, Damian Howard, Cindy Maher and Dan Park. Aaron Johnson was absent. RHOA Property Manager, Beth Krolikowski was also present as a guest.

Approval of Minutes

The September Monthly Meeting Minutes were approved upon circulation.

Treasurer’s Report

The Treasurer’s September Financial Review, Cash Flow, Budget Comparison, General Ledger and Delinquent reports were reviewed, as well as the Cherry Ridge Pools July financial reports. Damian summarized the reports. Some key points were made as follows:

Total Expenses year to date are $34 thousand over budget due to underestimation on mowing costs and sprinkler repair due to lightning strike.

Total Expenses for the month were $32,000 for lawn and landscaping, sprinkler repair, utilities and ice cream social event.

Year to date we are right on budget revenue wise.

Bids & Proposals

Tom & Ron’s Repair old bid was for $2,800 for a new mailbox. That will need to be updated for the 3 new mailboxes at South Ridge.

Enfield’s is working on a revised bid for tree removal with winter discount. Estimates will be available at November meeting.

Cherry Ridge Pools

Cherry Ridge Pool Committee held a meeting October 12th. They discussed budget, gate security, costs associated with phone & internet service, fence, landscape, pool service & management. Year to date budget totals will be updated and emailed to the committee members. This will be done monthly going forward. Gate security was contracted with SEi Security. They were able to get all fobs working at both pools by early August. There is interest in security cameras at the pools. The committee will check with SEi and other contractors for options and pricing. Cox Communications costs for phone and internet seem high. Committee will be looking into other options with other providers. Committee is also pricing fencing options, landscape options and pool contractors for 2016 season. The committee denied a Cherry Ridge homeowner’s request for a refund of the 2015 pool assessment.

Property Manager’s Report

Administrative Updates-

Account information for Hypermart was updated and will automatically be billed on October 22nd.

Website and email will be renewed with Hypermart.

Grounds Updates-

Concern with overgrown trees and dead bushes by 189th & Woolworth. Bushes need to be removed and area spruced up.

Dead tree in common area will be removed.

Possible irrigation issues need to be resolved prior to winterization of the system.

Maintenance & Repair Log-

Repairs were made on the spot lights at entrances. The light in Fairway, North side is now out.

Two mailboxes reported missing labels. New labels were ordered.

Covenant Violations Log-

Eleven notices of covenant violations were sent to homeowners in regard to selling cars out of home, unapproved signs in yards, vacant lots overgrown, exterior of home being painted without approval and truck/trailer between homes.

Communications Log-

Emailed Paradise Homes to have silt fence put up along 180th to avoid run off onto sidewalk from new home construction in Crimson Ridge Extension.

Emailed Fairway Ridge homeowner to see when the concrete barricades and no trespassing sign would be removed.

Ball Fields Schedule-

Several homeowners are scheduled for both fields. No issues to date.

Social Event-

Fall Social & Food Drive will be held November 18th at Shadow Ridge Country Club from 6-9pm.

Gingerbread House Decorating Event will be held December 5th at Fire Ridge Elementary from 9-10am for last names beginning A-M and 10:30-11:30 for last names beginning N-Z.

Security Reports

Officers’ patrol reports and crimemapping.com activity were reviewed. Nothing new to report.

Design Review Board Update

Design Review Board Log was reviewed. Many requests are being made; many are roof replacements.

Unfinished Business

President Susan Ramsay met with Rick Dolphens at Whispering Hollow signs. No room for a sign at the South location. WHOA President Badura will discuss with his Board at their October 26th meeting.

Website updates still needed and should do a test run of Email Brain for newsletter circulation.

New Business

Fall Social & Food Drive Invitations & appetizer selections decided.

Gingerbread House event invitations discussed.

Insurance coverage for mailboxes; Beth will check on cost for coverage.

Pine trees possibly planted on RHOA property; no design application submitted.

NEXT MEETING.

Next Monthly Board meeting will be Wednesday, November 11th, 2015.

Executive Session

Annual management review was held and Board approved renewing the contract with PJ Morgan.
