JOB TITLE:Payroll Administrator

HOURS OF WORK:37 hours per week

SALARY:NJC Scale 19 – 21

£18,746 - £20,138

LINE MANAGEMENT : Office Manager

PROBATIONARY PERIOD:9 months

CONTRACT : Ongoing

MAIN PURPOSE OF THE JOB

  1. To provide the Office Manager with key support in ensuring a consistent and efficiently operating administration and payroll department.
  1. To providepayroll administration to all service users of Dewis Centre for Independent Living.
  1. To undertake a variety of administrative duties within the sphere of responsibilities of the Administration Department.
  1. To participate in the general work, aims and goals of Dewis CIL in developing independent living opportunities for disabled people.

DUTIES & RESPONSIBILITIES

[At all times the following duties & responsibilities are required]

PAYROLL OPERATION

  1. Undertaking payroll duties and taking responsibilityfor payroll(in conjunction with the Payroll Officer) for service users employing their own personal assistants.
  1. Assisting and supporting members of staff in shared payroll duties including preparation for payroll processing.
  1. Administration of payroll materials: Maintaining PAYE records including RTI processes i.e. FPS/EPS, photocopying, filing, posting payslips, sending out PAYE reminders.
  1. Administration of Auto Enrol: including setting up agreed levels of pension contribution, posting appropriate letters/system emails, and compiling reports for Pension Company/Employer.
  1. Ensuring payroll is scanned and checked in Power Retrieve or other software package.
  1. Updating and maintaining accurate data in Charitylog or other CMS, with Personal Assistant details.
  1. Dealing with payroll enquiries by telephone, post, e mail and fax from: users of direct payments, I.L.F. and other users of Dewis CIL services.
  1. Liaising, on behalf of clients and their employees, with the Inland Revenue, Social Services,Benefits Agencies, and other agencies and bodies.

GENERAL OFFICE ADMINISTRATION

  1. Ensuring that the copiers are functioning correctly and reporting faults with Konica Minolta as necessary. Ensuring paper is replenished regularly.
  2. Taking regular stock checks and ensuring that there is an adequate supply of stationery and other consumables (toners etc. for the Konica Minolta copiers) for Dewis CIL.

RECRUITMENT ADMINISTRATION

  1. Assisting with the setting-up and administration of vacancies advertised by Dewis CIL, and subsequent applications for these positions.
  1. Responding to enquiries about personal assistant vacancies which are advertised.
  1. Liaising with Direct Payment Advisors regarding personal assistant vacancies

OTHER ADMINISTRATION DUTIES

  1. Receiving and dealing with telephone calls.
  1. Reception of visitors and other callers at Dewis CIL
  1. Opening the mail, disseminating the mail and dealing with replies under the direction of the Payroll Officer.
  1. Dealing with out-going postage from Dewis CIL on a daily basis.
  1. Carrying out photocopying and fax transmissions. Dealing with e mail enquiries and requests.

SUPPORTING THE ORGANISATION

  1. Supporting the work and commitment of DewisCIL in various projects, functions, launches and events which are organised
  1. Undertaking other reasonable administrative tasks requested by the Office Manager or Chief Executive or delegated line manager.
