The Manage Access Application

The Manage Access application enables a designated institutional administrator, the Access Manager, to control and manage access to the College Board tools their colleagues use, including the SAT Suite integrated reporting portal. Initial Use

An access code is required for the first time on-boarding of an Access Manager to the Manage Access application. Access codes are not required for later logins once Access Manager provisioning has been established. The first login to Manage Access requires the user to review and agree to the site Terms and Conditions.

  1. To enter your access code, log in to your College Board account or create a new one by going to the professional dashboard at
  2. Under “Add Additional Tools and Services” in the General section, click Get Access next to Managing Access to support K-12 Assessment Reporting.

  1. On the next page, enter your institution and access code. The access code supplied is only valid for the institution specified when you received the access code.
  2. After entering the access code, the Manage Access application will be displayed in the My Tools and Services list, and can be accessed by clicking on the name of the tool.

Actions

Use the four sections of the Manage Access application to manage users at your institution:

  • Manage Current User Access: View current users assigned to roles, revoke access for current users, and renew access by extending a user’s access expiration date.
  • Add Users to Roles: Assign roles to existing users who already have College Board professional accounts.
  • Invite New Users: Invite users without College Board accounts, or users new to your institution, to access your reports or data files. An email will be sent on your behalf to new users.
  • Outstanding Invitations: Review outstanding invitations, and resend or cancel them as needed.

Assigning Roles

Access Managers (who receive authorization through the access code provided by the College Board) manage all other users with the Manage Access application.

Access Managers can assign the following roles:

  • DAT for Assessment Reporting: This allows the Access Manager to assign additional users to the Manage Access role. The DAT role is not a reporting portal role. The ability to assign out the Manage Access role will allow for coverage if the primary access manager is unavailable, to share duties across several people, or if the Access Manager is leaving the organization and needs to reassign the responsibility.
  • Assessment Reporting Data Files Management: Provides user with data files download access. This role is usually given to individuals in charge of uploading results into your local data systems. Users with this role may be IT vendors hired by institutions, institution technology staff, or other institution staff. The permissions provide access to Download Center, and assigned users will receive email notifications when new score files are posted. This role does not receive any online reporting access.
  • Assessment Reporting Summary: Provides the user with access to aggregate score reporting, limited to summary data only, with no access to individual student information. Summary reporting should be given to staff that don’t need student-level information, but may need aggregate reporting.
  • Assessment Reporting Detail: Provides the user with access to detailed score reporting, including the ability to drill down to individual student score data and other personally identifying information. Detail reporting should be given to staff that would benefit from seeing student-level results in a visualized report, such as teachers and counselors.

You can set up and maintain unlimited users, but be sure to manage accounts as people join and depart from your organization.

Each role is independent. For example, you may assign data files access separately, or in conjunction with summary or detail reporting. If an individual is assigned both detail and summary reporting, detail reporting will preside.
