You will recollect that the Faculty of Arts, at its meeting of March 19, 1991, approved the establishment of The Faculty of Arts Award of Excellence to acknowledge outstanding performance and achievement by members of the Administrative and Support Staff.

The award is rotated each year between clerical, managerial and technical staff, and this year, it will be awarded to a member of the managerial staff.

I enclose a copy of the terms under which a selection for the award is made, and I urge all Academic, Administrative, and Support Staff to give serious consideration to this matter and participate actively in the nomination process. Nominations, with appropriate supporting data, should be sent to:

Nomination Procedures

In mid-March, a memo from the Dean is sent to all staff requesting nominations for the Faculty of Arts Award of Excellence. This award is given annually to recognize outstanding performance and achievement by a member of the Arts Administrative and Support Staff. The deadline to submit nominations is ordinarily the beginning of April.

To nominate an individual, please submit:

  • A detailed letter of support that profiles the nominee’s contributions to the Department or Unit, the Faculty and the University.
  • The letter must be signed by a minimum of five (5) individuals, one of whom may be a student. (Please note: All members of the Faculty of Arts may support a nomination, that is, academic, clerical, managerial and technical staff, as well as students registered in the Faculty.)
  • Nominations may be signed by one individual from a department outside the Faculty of Arts.
  • Nominations may be supported by members of one or more departments in the Faculty.
  • No individual may nominate more than one candidate in any given year.

Terms of reference

Name of Award

Faculty of Arts Award of Excellence for Administrative and Support Staff.

Purpose

To recognize and acknowledge outstanding performance and contribution by members of the Administrative and Support staff in the Faculty of Arts.

Frequency

The award is given every year and will alternate between an “M’ staff member and a C/T staff member.

Eligibility

To be eligible, a nominee must have been a staff member in the Faculty of Arts for a minimum of three years and must hold a classification of "C", "M" or "T".

Permanent part-time and permanent sessional staff may also be considered for the award. Their length of service, however, must be equivalent to three years full-time in the Faculty.

Award Selection Committee

A committee, struck by the Dean, and chaired by the Dean or Dean' s representative, shall consist of the following members:

  • One departmental academic representative (preferably a departmental Chair)
  • One representative from the "M" classification
  • Two representatives from "C" and/or "T" classifications

If possible, the committee should consist of representatives from both large and small departments and from both the social sciences and humanities.

Should a member of the Award Selection Committee be nominated for the award, that individual shall recuse herself/himself from the Committee and an alternate shall be named.

Criteria for Determining an Award Winner

The Award Selection Committee shall be fully entrusted to make an appropriate judgment by assessing all nominations fairly and equitably taking into consideration the relative impact of a nominee's accomplishments within the context of the individual's classification. The Committee shall make its determination on the basis of truly outstanding performance and contribution to the Department, the Faculty and the University.

In any given year, should the Committee determine none of the nominees meet the criteria, it may decide to not make the award.

Acceptance of the Award

The Committee Chair shall advise the recipient of the Committee's decision.

Announcement of Award Recipient

The Dean shall present the award to the recipient at the April meeting of Faculty. Members of the Administrative and Support Staff shall be notified that a presentation will be made and invited to attend.

A notice and short profile of the award recipient shall be published in The McGill Reporter.

Commemorative Object

The name of the recipient shall be added to the commemorative plaque that hangs in the Faculty reception area.

The recipient shall be presented with a commemorative certificate and a cheque in an amount determined by the Dean.
