Guidelines for Participants (sellers/vendors)

Purpose of the Colleens’ Chic Boutique:

Fundraiser for the Sheldon Colleens, the dance team at Sheldon High School.

To enjoy a fun way to raise funds for our program

To provide an opportunity for interaction and connection within our community.

Boutique Information:

Held in the cafeteria and/or hall at Sheldon High School (2455 Willakenzie Rd. Eugene, OR 97401)

Saturday, December 10, 2016

10:00 am – 4:00 P.M. Boutique Sales!

  • 7:00am – 10:00 A.M. set-up
  • 4:00 – 5:00 P.M. clean-up

The Colleens are hosting a free dance clinic for kids in the Sheldon Gym from 10:30 – 12:30 on the same day

The Colleens are hosting their Winter Dance Showcase in the Sheldon Auditorium at 3:30pm on that same day.

Selling Terms:

All products must meet basic expectations of product life, function and safety.

We desire to have vendors who will create a positive atmosphere and be an asset to our building of a fun and enjoyable boutique for this year and years to come!

NO illegal substances, illegal anything, alcoholic beverages, tobacco products, cigars, etc. may be sold

NO items of an “adult” nature may be sold.

***This is a family friendly atmosphere. The Sheldon high school campus does not permit illegal substances on site for any reason.

Only one vendor from each franchise business will be allowed to participate. (Scentsy, pampered chef, Tupperware, etc.) Please check the list on the website and contact Coach McClintick if you are interested in participating with your franchise business.

Application:

All participants must submit a Colleens’ Chic Boutique registration form no later than December 4, 2016.

  • Registrations can be filled out on the website.
  • Registrations can be mailed to Sheldon Colleens 2455 Willakenzie Rd. Eugene, OR 97401

Participants who are accepted will receive email confirmation from Coach McClintick and listed on the website as a participant.

Vendor Information:

$35.00 = One Table: (standard 6-foot rectangular table, no additional space)

$60.00 = Two Tables, or one table and an additional 6 feet of space/space of second table (standard 6-foot rectangular table)

$90.00 = Three Tables, or combination of tables and/or table spaces (standard 6-foot rectangular table)

Seating for you and an assistant (standard school chair; feel welcome to bring something more comfortable!)

  • Please let us know if you would prefer to bring your own table/booth set-up.
  • It is probable that you will need two “tables” (essentially using the space of two tables) if you want to use a “booth” style set-up.
  • Additional space is NOT guaranteed. Please register for two table spaces if you desire to use one table and the second table’s space for display of items.

Food Vendors:

$35.00 per entry

We are looking for food vendors who have their own truck or trailer set-up.

Food vendors will be in the outside courtyard.

  • Due to the set-up of the courtyard, food trucks/trailers will be exposed to the elements, but patrons may still be able to purchase/wait in line under cover.

We will provide inside seating for patrons to sit and eat.

Please plan to be entirely self-sufficient, including your own power source, water needs, etc.

Advertising:

Listing on Craig’s list several times prior to the event.

Listing of event on local community event calendars, etc.

Advertisement postcards distributed by the Colleens Dance Team members

Boutique announcement at the school, on our reader board and in the Sheldon E-news.

We also advertise on our website, Facebook page and over to 800 contacts that we email!

We ask that all vendors advertise on all social media as well!

Requesting of you for additional advertisement:

Please email an announcement to invite each of your contacts. You are welcome to forward the one we send out!

If you have a Facebook page - please invite all of your contacts and repost daily to help promote.

We have postcard advertisements available for you to hand out. Please stop by Sheldon HS and pick them up in the main office. (You may take the amount you want right off of the front desk.)

Participant’s Responsibilities:

  • Table cloth or table covering
  • All display and personal signage.
  • Signs must be affixed to tables with “painter’s tape” or be free-standing.
  • Items for sale with prices on them
  • Inventory List
  • Business Cards (or contact information)
  • Brochures
  • Gift Certificates (if you sell them)
  • Samples (helpful if you have them)
  • Order forms for future sales
  • Cash Box and Change (each table will have their own)
  • Receipt forms
  • Bags if youprovide them (or recycled shopping bags)
  • Plan for someone to be at your table at all times (have a partner or coverage for breaks).
  • Please bring your own power source (generator for food vendors, etc.) including extension cords and power strips. It is possible that we may be able to provide you with an outlet, but it is not guaranteed. Please email Hillary with questions or concerns about use of an outlet.
  • Participants are expected to set-up and remove all items brought with them.
  • Participants are expected to prep/clean the area they utilize. Please leave the table and area used clean and in the same/or better condition than it was before you arrived.
  • Participants are responsible for the security of their wares.

Vendor Participation Fee:

All checks must be made out to “Sheldon Colleens”

Participant Agreement:

The releases include, but are not limited to the following: Hillary McClintick, Sheldon High School, Eugene 4J School District and any other coaches, staff members or helpers working at or participating in the Colleens’ Chic Boutique.

I agree to abide by all the rules, regulations and guidelines found in the current Colleens’ Chic Boutique Participant Information and Registration Form. I understand that participants violating these rules, regulations and guidelines are requested to speak with Coach McClintick and permission to participate may be revoked at any time for violation of any rules, regulations or guidelines.

I understand the nature of my involvement and my experience and capabilities and believe myself to be qualified, in good health, and in proper physical condition to participate as a vendor in the Colleens’ Chic Boutique. I hereby release, waive, discharge, covenant not to sue, and agree to indemnify and save and hold harmless any and all releases from all loss, liability damage, or cost that may incur arising out of or related to the Colleens’ Chic Boutique whether caused by the negligence of the releases or otherwise.

I agree that this Release and Waiver of Liability, Assumption of Risk and Indemnity Agreement extends to all acts of negligence by the releases, including negligent rescue operations, and is intended to be as broad and inclusive as is permitted by the laws of Oregon and that if any portion thereof is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect. I further agree that if, despite this release, I, or anyone on my behalf, make(s) a claim against any of the releases, I shall pay for any litigation expenses, attorney fees, loss, liability, damage, or cost that may incur as a result of any such claim.

I have read this Release and Waiver of Liability, Assumption of Risk and Indemnity Agreement, fully understand its terms, understand that I have given up substantial rights by signing it, and have signed it freely and voluntarily without any inducement, assurance, or guarantee being made to me and intend my signature to be a complete and unconditional release of all liability to the greatest extend allowed by law.

I also declare that all items I sell are legal in the state of Oregon and adhere to the guidelines set in the registration form for the Colleens’ Chic Boutique. The releases are not responsible for any of my products or any product or ingredient include in any of my products.
