The Assistant Director will execute all directives of the Executive Director (ED) and in the absence of the ED, all directives of the board of trustees.
Chief Responsibilities:
- The Assistant Director will communicate with the ED (and board members as warranted) to review progress of achieving the Society’s strategic plan and mission.
- The Assistant Director will execute all assigned job duties to meet the expectations of the Society’s mission, daily operations, and strategic plan.
- Assist the ED in the full oversight of fundraising events including: Wine Tasting, House Tour, Garden Tour, Lunch & Learn, Pub Crawls and other events as planned.
- Assist the ED and HHS volunteers in obtaining sponsorship monetary or in-kind donations for all Society events and programs.
- Independently research and initiate sponsorship and donation funds for Society.
- Independently explore additional fundraising opportunities the Society can conduct or participate in.
The Assistant Director will be the lead supervisor for community events including a spring program (e.g., Sheep to Shawl) and a fall program (e.g., Apple Festival).
The Assistant Director will be the lead supervisor of educational programs and operations including but not limited to:
- School field trips to the Society’s properties.
- Mobile school programs to bring education programs to schools and other educational entities.
- All publication, recruitment and communication to schools and other educational entities.
- Summer camp program “Passport to the Past.”
- Scheduling of volunteers, presenters, docents and counselors for programs.
- Redesigning, updating and/or creating.
- Working with vendors who operate the programs (e.g., burial ground tours, Tide Mill tours, etc.)
- Researching new programs to increase visibility and community integration of the Society as per the mission.
- Scheduling programs, obtaining volunteers, collecting fees.
- Create and send invoices to entities using the Society’s programs/properties.
- Track income and expenditures of all assigned programs, particularly related to mission-based enrichment and educational programs.
- Work with the ED to review budgets and P&L to determine progress and areas of need.
- Assist ED to create budgets for grants, contracts and projects.
- Educate volunteers and per diem staff on money handling for assigned events/programs.
- The Assistant Director will organize and train volunteers and per diem staff as needed to support ongoing and long-term fundraising activities and objectives associated with the mission of the Society in relation to education, programming and events.
- The Assistant Director will operate scheduled events and programs when volunteers are not available.
- Instill a sense of accountability among volunteers, interns and per diem staff by modeling firm oversight of individual and organization performance standards
- Obtain and submit information in a timely manner to advertise Society events and programs.
- Submit articles, pictures and other media pieces to ED or website manager for newsletter and website pages.
- Liaise with other historical societies and community partners for event sharing.
- Arrange and attend meetings with school administrators to promote education and camp programs.
- Facebook and Instagram posting, at least twice a week.
- Assist ED with website updating.
Must be able to pull, push and lift up to 25 pounds. Must have reliable personal transportation.
Computer proficiency is a must. This includes Microsoft Office, Excel, and Outlook, as well as comfort with Facebook and Instagram. Knowledge of Microsoft Publisher, PastPerfect, and Constant Contact is a plus, but can be taught for the right candidate.

Monday- Friday, 9-5. Some weekends and evenings are required.
