Terms and Conditions for Registration and Participation
EducationUSA does not allow U.S. universities to be represented during any fair by a local agent or comparable representative. We seek to have representatives from the United States visit and meet with our students, and your cooperation with this is appreciated. Additionally, if a participating representative plans to meet with an agent while in a host country, the meeting must be private and without media coverage or advertising during the duration and prior to the Tour. We appreciate your sensitivity to our need to avoid vying with other agencies or individuals for the credibility that your presence confers during what is an EducationUSA program.
Registration deadline is August 31, 2018. Payment deadline is September 10, 2018.
Registration is not considered confirmed until payment has been processed. Institutions that have submitted registrations but have outstanding payments as of September 10, 2018, will be invoiced a 10% late registration fee.
All payments are managed by American Councils for International Education, in Washington, DC. Payment instructions will be sent within 3 business days of when registration is received.
The EducationUSA Advising Centers will:
Advertise and promote extensively the events to students, parents, school/university teachers and counselors.
Provide counter space no less than 90cm x 60cm, a chair, bottled water and sign for each participating institution. If additional space is required, arrangements should be made with the EducationUSA staff in advance.
Provide access to a 220v electric socket and wastebasket.
Include institution profile in the event brochure distributed to all attendees. All profiles must be received no later than August 31, 2018, to guarantee inclusion.
Prepare and send after the fair a list of visitors, if possible.
Arrange airport transfers for representatives who fly on the recommended flights between fair cities and stay at the recommended hotel in each fair city.
NOT be responsible for any lost or damaged items.
NOT be responsible for any mailed packages that may be stopped at customs, and will not perform any customs clearance activities.
NOT be responsible for obtaining visas for fair participants.
Participating Institutions agree to the following:
Participating institutions must hold U.S. Regional or National Accreditation that is approved by the U.S. Department of Education. Verification may be requested. We reserve the right to refuse registration of any institution.
Participating institutions must support and adhere to the NAFSA's Ethical Principles, NACAC's Principles of Good Practice, provide ongoing services for international students and follow the NACAC guidelines at all fairs.
Participation by agents or other third-party representatives is not permitted.
Exhibitors are responsible for obtaining the appropriate visas (if applicable), airline tickets, hotel reservations, and ground transfers, except where noted in the “Guide for U.S. Representatives: Eurasia Tour 2018”. NOTE that tourist visas are not acceptable for participating in public outreach events in Russia.
Exhibitors are responsible for shipping materials with sufficient time for delivery. To avoid delays or large customs tariffs, send your materials by September 10, 2018.
