Template Email for Ochsner Observership Request to Preceptors

Dear Dr XXXX

My name is XXXX XXXXand I am a first year student undertaking the Doctor of Medicine at The University of Queensland, Brisbane, Australia. I am a citizen of the United States and am studying the Doctor of Medicine which is delivered with collaboration from both The University of Queensland and also Ochsner University in New Orleans. As part of my degree, at the conclusion of my first year of theoretical studies we must complete an8 week observership with a registered Medical Practitioner or Allied Health Professional (Remove whichever is not applicable) in a clinical setting within Australia. As part of this observership we are given the opportunity to shadow a medical professional in a discipline of medicine of our choice. I am aware that to date I have only completed 1 year of study towards my medical degree but I am looking to this opportunity to formulate where I want to head going into the phase 2 of my program in year 3. My degree requires me to complete years 1 and 2 in Australia and then in my 3rd year I return to the USA for both years 3 and 4.

While I understand that this is a large investment of time, as I must attend Monday to Friday (min of 20hours per week) for 8 weeks, I am sincerely hoping that you might consider allowing me to undertake this at your practice. I would be extremely grateful if you would consider my request.

Closer to the time that the observership would take place I will be able to supply you with the Preceptor Information Guide which would outline further the requirements of the observership. As a rule preceptors are requested to complete a Preceptor Evaluation Assessment form which includes such questions as my attendance, professionalism, interpersonal skills but there is no need for any formal assessment to be undertaken during this placement.

If you are able to assist me with my placement I would be most appreciative and should you require further information I will be more than happy to provide this to assist you in making this decision. This can include my personal CV and also a Letter of Good Standing from the Faculty of Medicine at The University of Queensland.

Insert only if requesting an Australian GP – remove otherwise

The Clinical Placements team has advised us that General Practitioners within Australia can include this supervision towards their Professional Development and may also be eligible for a Government payment. More information can be found at

Thank you in advance for considering my request and I look forward to hearing from you.

Kind regards
