Telecommuting for Clinical Documentation Improvement

Statement

To ensure consistency in work processesand provide staff expectations as it relates to working and availability while telecommuting.

Note: This policy is an addendum to the EHC Telecommuting Policy. In no way does this policy replace but works in conjunction with the EHC policy.

Scope/Procedure

Telecommuting is allowed in the Clinical Documentation Improvement Department based on the needs of the department and availability of the medical record on-line. All provisions of the EHC HR Policy on Telecommuting apply to CDI staff working remotely.

Full-time staff that works remotely at the time this policy is implemented may continue to work remotely two days per week, or one day per week (depending on location) in keeping with the needs of the department. Out of state part time staff in a job share arrangement currently may continue to work remotely. Full time staff hired after the effective date of this policy will be allowed to work remotely one day per week. Part timestaff hired after the effective date of this policy will be consideredfor remote working ona case by case basis in keeping with the business needs of the department.

In accordance with Clinical Documentation Improvement work standards, CDI specialists must maintain a face to face working relationship with providers by attendance on nursing units. Local employees in job share arrangements must be on the units 2 days per week, and full time employees must be on the unit 3 days per week.

Telecommuting is not a means for an employee to remain home to care for another individual.

Telecommuters must be available via telephone or email during agreed-upon work hours. Telecommuters must notify their supervisor if they will not be available during work hours. Any changes in agreed upon schedule must be approved by supervisor. Emory Healthcare policies regarding time and attendance are no differentwhen telecommuting than when physically present in the work place.

As needed, the employee should be available during normal business hours to participate in discussions with others from Emory Healthcare e.g. co-workers, coders, providers via telephone or email.

Standard computer equipment, printer and internet access should be available and in working order at employee’s home.

The employee is expected to maintain productivity and quality standards in their work when telecommuting.

Employee must accurately clock in scheduled work hours into the time and attendance system.

Telecommunicating will be reviewed by leadership periodically and at Emory’s discretion, the ability to telecommute could be discontinued dependent upon needs of the department.
