Team Rep - Blair Boosters Concession Overview

Hello and thank you for helping with concessions for Blair Athletics! Indoor concessions is smaller that outdoors – we are limited by space. The instructions are just slightly different. Please feel free to give feedback on something that is incorrect or needs clarifying.

There are separate “opening” and “closing” instructions with details on every machine. Here we give a broad overview as to what to expect.

  1. When to be there and who we need. Inside, space is limited so a total of 4 people are really necessary and can fit in the concession space. You need to be there about 30 minutes if it is a smaller event (no hot food) and up to 60 minutes beforehand if it is a larger event with hotdogs, pizza. Outside, Concessions for varsity football games and similarly designated events with FULL concessions are staffed differently than concessions for other games (e.g., soccer, field hockey, JV Football, etc). Partial concessions is smaller and referred to as partial below. For full concessions, we need 6-8 people at a minimum (some adults) each for two different shifts: e.g., 5-7pm and 7-9pm for a Blair home varsity football game. For partial concessions, we need about 4 people total including 1-2 adults: e.g, about 6:15-8:15 total for a double header soccer game at home. You keep it open until half time of the second game (about).
  1. Getting access to the concessions. There is a person assigned from the athletic department (an assistant AD or Rita) for each game who will open the main concessions stand for you to get access the concession stand and the locked closet with the food and equipment. They will also have access to the money box to make change.
  1. Inventory. The inventory to run concessions is split between ‘main inventory’ which you should use to run each event and ‘backup inventory’ (aka safety stock) which you should use only if the main inventory is depleted. Breaking into backup inventory is a signal that the item needs to be re-ordered. If you do break into backup inventory, we ask that you just note it on the reorder sheet and let someone know as in the closing instructions. We will have the item there for the next event! The storage boxes should be clearly marked with “MAIN INVENTORY” and “BACKUP INVENTORY”. This also means that putting the food back in the right place is important to make the job of the concession manager easier!
  1. Inside Concessions. Most events require only candy/dry goods. The events will be labeled FULL or PARTIAL to signify the type of food being offered. When you arrive to the inside concession both (near the gym), you will find most of the inventory in the back room. Follow the “opening procedures” – for both full and partial concessions, we work out of the concession stand (that is different for outside concessions as noted below!).
  1. Outside Partial/Prepackaged Goods Concessions. I made a diagram at the bottom to make this easier to visualize. Our partial concessions are important for all teams to be supported by the Blair community and offer our fans something to eat – particular the younger fans. Outside, we do NOT open the main concession stand but have a table close to the action with dry goods and bottled drinks. We have 3-4 people including 1-2 adults to handle the money. No students are allowed to handle money.
  2. Tables. Folded tables are in the concession stand. We use one long table for partial concessions down near the actual game. I did a figure below. We put out examples of each type of candy on the table and keep most of the candy in the storage bins near by.
  3. Candy and dry goods. Four large tubs with lids have snacks and are clearly marked ‘PARTIAL concessions’ in the interior closet of the main concession stand. There is a wire cart to help you take down the tubs to the partial concession area.
  4. Drinks: Two coolers are available (and recommended) for bottled drinks to bring down to the partial concession stand. The bottled items, water and gatorade can be in ice, but cans need to be placed in containers above the ice.These are in ONE of the coolers – one cooler is designated for cans so no melting ice water can get on the top of a can (per Mont County food safety license rules). There is a hot water large container you can plug in near the concession stand for hot drinks. Fill with water to start getting it heated. We keep the cups at the table and leave the water up near the concession stand plugged in.

  1. Closing Partial Concessions. At halftime of the second game – about 8pm – you can close up concessions. This entails the following:
  2. Putting the food items back in big plastic canisters with LIDS closed tightly and dry items (cups, napkins, pricing sheet, etc) in a separate plastic canister as labeled. All neatly so that we can use them in a day or two. These snack items are tempting for all types of animals and the lids must be on tightly. These go back in the back closet of the concession stand on the shelf.
  3. Taking the coolers back and putting the drinks into the coolers and emptying out the coolers’ ice. Place the coolers with lids off (to dry) in the closet of the concession stand.
  4. Take down the tables used for concessions. Bring in the hot water for tea and hot chocolate if applicable, empty the contents, and place in closet.
  5. Please fill out the END $ for the cash register sheet.
