Supporter Data Assistant

Reports to: Supporter Data Manager

Accountable to: Head of Fundraising Operations

Payscale: Grade 22- 25

1.  Description of role:

Working with the Supporter Data Manager and Officer, the assistant will be responsible for maintaining accurate data on Sense’s Fundraising CRM (currently The Raiser’s Edge) so that Fundraising teams can engage with their supporters in a timely and effective manner

This will include importing of data from third parties and websites, data selections for marketing and fundraising activity and (with the Database Officer) 1-2-1 training of Sense Fundraising teams.

This role requires consistency and accuracy to ensure data integrity is maintained. You must have an eye for detail and be adept at spotting errors whilst working in a methodical manner.

This role sits within the Fundraising Operations Team; a fast paced team with a varied and large work load, the candidate will be expected to manage their own task list and prioritise where necessary.

The Supporter Data Assistant, working with the other members of the Supporter Data Team is responsible for:

·  Carrying out imports and exports of data to the database, liaising closely and regularly with our various outsourcing agencies and partners, and the Fundraising and Supporter Services Managers.

·  Preparing data selections for fundraising activity, including mailings and telemarketing activity – ensuring that these are delivered to agreed deadlines and specifications

·  Delivery of a training programme for Raiser’s Edge users across the charity.


2 Specific Responsibilities:

Data Management

·  Liaise with other departments as well as external agencies to ensure data is captured correctly to aid and improve efficiency

·  Working with other members of the Database Management team, identify, develop and implement more effective data import processes.

·  Review and document current data processes, ensuring the organisation is following best practice in data management

·  Identify and rectify inconsistent and incorrect data held within Raiser’s Edge (RE)

·  Process global changes, bulk one-off data imports and updates as required

Data quality and hygiene

·  Ensure that supporter data is maintained to a high quality and accuracy through regular cleaning and enhancement.

·  Ensure that data is stored in line with industry best practice and regulatory guidelines

·  Produce regular KPI and quality reports for manager and AD as required

·  Identify duplicate supporter records, individually and during data imports, and merge to create singular primary records

User Support

·  Be the first point of contact for user queries, resolving issues and maintaining database of FAQs and resolutions

·  Lead on specialist user groups to help develop best practice in database use and promote self-sufficiency in teams

Educational & Knowledge
Essential / Desirable
Computer literate with experience of working with Raiser’s Edge or a similar database in a fundraising environment / Degree or relevant technical qualification
Good understanding of Relational Databases, technically and real world application / Understanding of charity fundraising and the associated data processes (e.g. regular giving, events, campaigning, Gift Aid)
Excellent understanding of Fundraising Income in a charity / Used Just Giving, Virgin Money Giving, Voucher Agencies, Direct Debit Bureau
Understanding of database selection and segmentation procedures
Excellent understanding of MS Excel and of MS Access

Work-Related Experience

A clear understanding of data protection regulations and other regulatory frameworks / Experience of database administration within a fundraising environment
Understanding and knowledge of the structure of databases
Experience of database administration within a fundraising environment
Skills and Abilities
Excellent interpersonal skills, with ability to communicate with both technical and non-technical colleagues at all levels of the organisation
The ability to stay calm and logical during times of high pressure
A team player who can also demonstrate excellent independent working, taking ownership and responsibility when applicable
