Subject: New Instructor Workload System Communications

Good Morning,

As you may have heard, the University has begun work on a new Instructor Workload System to replace the Instructor Workload File (IWF). Beginning in Fall 2014, instead of entering instructor workload in the outdated mainframe screens, you will have a clean, modern interface like the rest of myUFL. In addition, several new features will be included in the new system to make the entry of instructor workload a much simpler, more intuitive process.

In the new system section data will automatically populate fields within instructor workload if information has already been entered into the course scheduling system. Information on committee assignments will also automatically come into the system from GIMS. This means less data entry and less copying data from one system to another. The system will also be designed to validate information where possible alerting you to potential errors before the section is completed. Lastly, we have designed the new system to allow you to correct errors after the term yourselves rather than have to depend on the core offices to make the changes you need.

Besides a new system, we will implement a robust communications and training effort to support the transition to the new Instructor Workload system. New training and resources are being developed to assist you in working with the new system. Our goal is that when you have a question, you’ll have simple, accessible places to go for answers.

The new system is in development now with the first versions being tested. Our goal is to transition to the new system for the Fall 2014 term. Between now and then we will be having information sessions with each of the colleges and we encourage you to attend to learn more and get answers to any questions you have.

The new system will go to great lengths to improve the accuracy of Faculty’s effort reports, and enhance the University’s ability to meet Federal A-21 and State reporting. What it means to you is an easier way to enter instructor workload, fewer errors on faculty effort certification forms, and less of your time spent re-entering data. I believe this presents an opportunity for all of us.
