SUMMARY OF MAIN DUTIES / RESPONSIBILTIES

Job Title:Business Manager

Reports to:Head Teacher

Job Purpose:To lead all aspects of the day to day support functions of the school; to oversee financial monitoring, planning and operations; to oversee site safety and maintenance. This allows the senior teaching staff to focus on the leadership of teaching and learning. The post-holder is regarded as a member of the school Senior Leadership Team (SLT) and will attend relevant sections of SLT meetings.

Duties and Responsibilities

General Senior Leadership role:

  • As a member of the SLT team the postholder will undertake shared, generic responsibilities including:
  • Attending Governors’ committees as agreed and providing associated written reports
  • Promoting the school’s mission, values and ethos
  • Being the senior person at school events, as agreed
  • Playing a key role in school self evaluation and development planning

Key Roles and Responsibilities

School operations:

  • To oversee the school calendar and meetings structure
  • To oversee the operation of Absence Cover (working with other members of the senior leadership team to ensure quality assurance)
  • To oversee the planning and logistics of school events and trips
  • To oversee first aid provision and medical provision
  • To ensure that appropriate risk assessments are made and followed for all school operations
  • To manage contracts with external providers
  • To monitor legal compliance in school operations
  • To maintain the school Risk Register and business continuity plan
  • To provide benchmark data from other schools.
  • To oversee lettings of school premises

Finance:

To act as the Academy’s Principal Financial Officer, discharging key responsibilities including:

  • the preparation of the annual accounts
  • the preparation and monitoring of the budget
  • technical advice
  • liaison with auditors.
  • To lead and oversee school finance operations
  • To provide draft budgets and regular budget monitoring and prepare medium term financial plans for the Head Teacher and Governors
  • To plan and monitor cash flows
  • To provide financial returns for the EFA and DfE
  • To oversee financial systems and controls as required by the Academies Financial Handbook and the academy Funding Agreement (FA)
  • To oversee the Academy’s financial policies
  • To manage the preparation of bids to the EFA’s Capital Improvement Fund and other funding opportunities
  • To be responsible for purchasing goods and services for the Academy, ensuring value for money is maximised and securing tenders as required under the Funding Agreement.

Site:

  • To manage the work of the site team and external contactors
  • To ensure compliance with health and safety requirements and good practice
  • To maintain an accurate audit of the condition of the site and buildings
  • To liaise with the head Teacher and Governors in developing a campus plan

Personnel:

  • To oversee the work of all support (non-teaching) departments (excluding teaching assistants in their additional educational needs role).
  • To ensure that appropriate appraisal arrangements are in place and functioning effectively in all support departments
  • To oversee the work of Human Resources staff, liaising with other members of the SLT as appropriate over issues of staff wellbeing and discipline.

Working Relationships

  • To be the line manager for finance, administration (including reception), catering, IT / reprographics estates and exams/data officer.
  • The post-holder is directly responsible to the Head Teacher and will also work closely with other members of the SLT.

Resources

  • Act as a contact point - an internal and external ambassador for the school - with external organisations such as the DcSF and other academies and schools, architects, consultants as necessary.
  • Operate relevant equipment/ICT packages (e.g. MS Office, internet, intranet, SIMS, E-mail)

General

The post holder may be required to perform duties other than those given in the job description for the post. The particular duties and responsibilities attached to posts may vary from time to time without changing the general character of the duties or the level of responsibilities entailed. Such variations are a common occurrence and would not themselves justify the re-evaluation of the post. In cases, however, where a permanent and substantial change in duties and responsibilities of the post occurs, consistent with a higher level of responsibility, then the post would be eligible for re-evaluation.
