SUB: GUIDELINES ON VEHICLE REGISTRATION (VRR03): GOEX
I. The Process of Vehicle registration can be done only if Fleet owners and the drivers have been registered in the portal (GoEx).
1) Please log into the system using your login ID and password of the fleet owner.
2) Please log in using the following URL : http://49.248.161.5/static-site/login.html.
3) On successful login, the screen will open up showing fleet owner registration with a Menu Icon on his left.
4) Please click on the Menu Icon and you will see the dashboard open up on the left.
5) Choose option My Vehicles. This will open up the dashboard to the left showing the following :
i) View all Vehicles
ii) Track Vehicles
iii) Vehicle Registration
iv) Draft Vehicle List
6) Choose Vehicle Registration.
II. Before starting the process of registration, please keep the following documents ready hand in hand.
1) Vehicle Registration Certificate
2) PUC Certificate
3) Vehicle Permit
4) Copy of the Insurance Policy
5) RC Registration Certificate
6) Declaration Certificate – as per the attached Form no.DC002
7) Vehicle Requirement Checklist : Form No.DC003
8) Input the following information
i) Vehicle Registration Number (This is the number plate of the Vehicle)
ii) Vehicle Short Name
Please input here the last 4 digit of the vehicle number. For eg. if the vehicle registration no. is DD03 D1984 then please enter the short name as 1984. This is because in common day to day discussions the vehicle is referred by its last 4 digits.
iii)Vehicle Class (There are 3 types of vehicles). This will be available to you from the
Authorisation Certificate or RC Book/Certificate.
a) LCV
b) MCV &
c) HCV
Iv) Vehicle Type (You fill the following options). This will be available to you from R.C
Book/Certificate.
a) Container
b) Tanker
c) Tempo
d) Trailer
e) Truck
f) Special and not defined
Please choose the appropriate vehicle tag.
v) Vehicle Model
Please choose the appropriate model. Tata 407 tempo is referred to as 407.
vi) Vehicle Sub Type
Choose from the drop box the appropriate vehicle sub type.
For. Eg. In the market you will find Trucks of different types. Some examples are
given below:
Truck / Taurus 16 Mt (22*7.5*8) 10 WheelerTruck / Taurus 21 Mt ( 22*7.5*8) 12 Wheeler
Truck / Taurus 28 Mt ( 22*7.5*8) 12 Wheeler
Refer to the RC book and choose appropriate Vehicle Sub-Type.
vii) No. of Wheels
This may be obtained from the Driver or concerned Fleet Owner/Driver.
a) Truck Dimension (Length x Width x Height)
This can be obtained from Driver or Fleet Owner.
b) Operated by
Please put the details of the Fleet Owner’s name. You will see three options:
i) Fleet Owner
ii) Associate (Broker or Agent with attested to booking agent)
iii) Transporters Company
In this case the vehicle is to be operated by the associate or as attached, please
obtain the Proof of Authority in favour of Associate/Broker.
In case proof of Authority, for eg. Agreement of the fleet owner or driver is not
obtained than arrange to obtain a copy of agreement of the agent and up load the
same. In case there is no agreement, pls obtain declaration in attached format

8) Driver Details
Please enter the name of the driver who operates the vehicle. This information is necessary as all trip related SMS will go to this drivers mobile no.
After completion of the above details, please press the next button and go the Screen 2.
III) Vehicle Details
Please enter the details of validity of Vehicle
1) Vehicle Fitness Certificate
2) Valid from date
3) Valid to date
4) Similarly enter RC registration date and RC Expiry date.
5) Please enter unladen Vehicle Weight (in Kgs.). This is an empty weight of the vehicle
6) Gross Vehicle Weight (in kgs.)
This is a load varying capacity of the vehicle. For eg. if unladen vehicle weight is 4500
kgs. And gross vehicle weight is 14500, this means that the vehicle is about to carry
10,000 kgs or 10 Tonnes (14500 – 4500 = 10000).
7) Gross Volume capacity change to engine power in cc.
8) Please enter the PUC Number
In addition you will find following field which are not mandatory and in such case if the
information is there than please enter the same.
9) On completion of the information press next button. This will take you to Screen 3.
IV) Permit Information
1) Please enter the details of the permit type. Choose one of the options
i) National
ii) State Permit
2) Enter permit no. This will be available on the permit.
3) Enter Permit Date and Permit Renewal Date
4) Normally the permit is valid for a period of One Year.
5) Vehicle Insurance Details
From the copy of the insurance policy, please enter the following details
i) Policy No
ii) Insurance Company Name & Branch
iii) Insurance amount
iv) Insurance From Date
v) Insurance To Date
vi) Insurance Claim History
In case there are no claims – put nil
6) Route Information
i) Please select here the place, state and city of the transporter/Fleet Owner.
ii) Some Company has multiple branch office and vehicle is attached to the concerned branch office. In such cases select the State & city of the concerned branch office.
iii) On completion of the information, please upload all copies of the documents required. In case all copies are not available, you may save the information as draft.
V) I agree to GoEx terms and conditions of use and the privacy policy of Goex I further agree to receive promotion and transactional communications from GoEx Logistics Pvt.Ltd.
Please put a tick mark against this and make the customer aware that this is consent on his behalf. The tick against this is mandatory as it is a requirement of government authorities.
VI) Save as Draft or Submit
1. In certain cases some information from the customer may be missing specially the copy of the mandatory documents and in such cases you must save the information by pressing Save as Draft. This will allow you to input the information once it is available.
2. In case all details are available and uploaded, pls. press the submit button. The system will now proceed to check all the mandatory information (marked with red asterisk * ).
3. In case any information is not available the system will highlight in red all the missing mandatory information. You must proceed to complete all the necessary fields and then press submit button. In case you find some information is missing and not readily available, pls. press saves as draft.
4. In case all information is available and you have pressed submit button, the system after verification will display a message “ form submitted for Checking”
5. In case you have saved the form as Save as Draft, the next time you login, and select customer, you will see a list of all Customer forms which are saved as draft. You can now proceed to complete all information. See point I.8 and I.9 on how to login the next time.
6. All hard copy of scanned data uploaded in registration form must be signed by Customer representative and couriered to the Attn of Contact Centre at the address given to you.
7. In case of any doubts or queries, pls. contact representative at The Contact Centre.
VII) PROCESS FOR UPLOADING A FILE
In case the soft copy of the attachment is not available, you may please follow the following process:
1) Take a photo of the concerned document from your camera on the Mobile Phone. In case you have a Tab, you may use the camera of the Tab.
2) Mail the photo pic taken from your hand phone or Tab to your own mail ID.
3) Access the mail received as mentioned in Point (2) from your Laptop/Tab.
4) Save the attachment received in Point (3), on your Desktop/Laptop.
5) Upload the saved file on the Desktop/Laptop to the GoEx system.
