Welcome- Tara Patten

The meeting took place in the Design Studio and was called to order by Tara Patten at 7:00 p.m. A quorum was established.

Attendance and Minutes Approval

Attendees were asked to sign in and record their January VIPS hours. Upon review of the minutes from the January 12, 2016 meeting, the minutes were presented for approval. A motion was made by Jenn Raby and seconded by Tori Kuykendall to approve the minutes as presented. The motion carried, and the minutes were approved. Tara reported that we will have copies of the new by-laws for the next meeting.

·  Beginning Balance = $37,624.85
Inflows = $11,425.15
Outflows = $14,890.75

VP Membership/Patrons – Tony Consoldane
·  We have one new membership
·  Need volunteers for the audit committee. Beth Roberts to volunteer.
·  Discussed ideas for new merchandise items – beanie, leggings, blanket, pajama pants

Holiday Extravaganza/Fundraising – Jenn Raby/Vanessa Heintz

·  Holiday Extravaganza Committee Recommendations:
1.  Color coded wrist bands. These are for the guests who purchase meal tickets. Color code gets the person their meal choice and entrance into the PAC orchestra seating. Band has a website for ordering these wrist bands.
2.  Advertise at senior living centers. Show a video or pictures to the Activities Director. Also, possibly the Jazz Band, Sensations, or theatre have a small group perform for the center to give and idea of the level of talent our students bring to these performances
3.  Meal counts. Theatre and Band need to work closely together on meal counts. Make sure there are checks and balances as to the final meal count.
4.  Theatre treasurer needs to be at the check in/out table.
5.  Bid sheets: Bottom half of bid sheet needs to have a winner section that tears off or use 2-ply bid sheets. This will streamline check out.
6.  Band Color Guard: Perform at the commons. This was suggested by band as a way to showcase what they do.
7.  Auction Table: This needs several volunteers (4-6) to help, especially when bids close. Also to ensure the proper winners collect their items.
8.  PAC Concert: There needs to be a minimum charge of $5 for all wishing to attend this event. Also, these people are restricted to the mezzanine seating. Tickets will be online designated as mezzanine seating.
9.  All attendees who purchase meal ticket wrist bands will enter the PAC through the hallway side doors. 2-4 student ushers will be at the doors checking admission bands. One adult house manager is needed at this door for any issues that arise. 4 student ushers and one adult house manager are needed at the PAC doors leading to mezzanine seating to take tickets. These students and adults can be from any department.

Productions – Lisa Turner

·  Need to get the word out about MCM
·  Still need volunteers for concessions and box office
·  Next CSZ home match is March 10. We have had no issues with food so far!
·  We will have a wrap-up productions meeting for MCM at the end of February
·  Tara suggested putting yard signs all along the school entrance and possibly in people’s yards to advertise the show
7. / Scholarship – Lisa Turner
·  Forms are online.
·  February 26 is the eligibility deadline
8. / Publicity/Playbill – Sandy Swierc/Tamara Grisko/Tori Kuykendall
·  Playbill went to press this afternoon.
·  Tori worked with Tamara to learn playbill for next year.
·  Heerssen said other teachers at TETA reported seeing ads/info for our shows outside of the Houston area due to our advertising!
9. / Directors – Chocs/Heerssen
·  The directors went to TETA and had a great time!
·  MCM – as of now we are well under budget! We needed to purchase some furniture and some costumes.
·  CSZ – we have made ~$526 profit so far
·  Mr. Seven Lakes – we have 3 theatre students competing
·  UIL – the show has been cast. First rehearsal is February 10, starting at either 3:30 or 5:30

Thespians – Thespian Board
·  Company picnic on Saturday, January 30
·  Made bandanas for CAP and Special Pals on January 31
·  Students will et together on February 7, to bake for the bake sale
·  Bake sale February 9
·  Thespians will be helping Griffin with their 4th grade musical
·  Katie is hoping to do a spirit night in February

·  Tara reminded everyone to begin considering possible board positions as this will be coming up soon

·  Meeting was adjourned at 8:02 p.m. The next meeting will be March 01, 2016, in the Design Studio.
