Appointment Campaign

Do you want your advisees to schedule appointments with you? Would you like to track who has done so? Would you like this process to involve fewer emails and questions? Compass can help. The platform refers to this as an “Appointment Campaign”.

Before you begin, it is important to know when you will be accepting appointments for this campaign and the services you will be providing for this campaign. You will need to match these on the appointment setup and availability management pages.

Step 1: Availability

You can create specific availability for the campaign following the same steps you used to set up your normal availability. Begin by locating the “My Availability” tab on the home page.

Click the drop down arrow next to actions, and select “Add time”

  1. Choose the days and times you are available for the campaign. You will need to create multiple availabilities if you have a different schedule per day.
  2. Select Campaigns as the availability type
  3. Use the “A Range of Dates” option for duration and select the beginning /endingdates of the campaign
  4. Select your service location and include the available services for the campaign.

*You will need to match these two areas when setting up your campaign.

5. Make sure to include your physical office location in the details

Step 2: Appointment Campaign Creation

Select the Campaigns icon from the left side of your screen.

Create a new appointment campaign under “Actions” on the right side of this page.

Fill out the campaign details as requested. Make sure to match the reason and location to those you already entered for your availability. If reason and location do not match, there will be no time available when your students sign up.

By default, all of your assigned advisees will be included in the campaign. If you want to invite only a specific group of students, use the advanced search features to select a group and then create a campaign specifically for them. You can also add more students by clicking the link at the bottom of the page.

If you only need to remove a few students, you can do so at the “Review Students” step. Simply check the box next to each name and choose “Remove Selected Users” from the actions drop down. Once you are happy with your list of students click “Continue” at the bottom right.

You then need to assign yourself as the advisor for this campaign. Click the box next to your name, and click “continue” at the bottom right.

Next, you can compose the email message to your advisees. You can preview the message at the bottom of the page. Once you are happy with your message, click “continue” at the bottom.

Confirm your details, and send out the appointment campaign.
