New Student Organization Approval Packet

Process Checklist

  1. Contact the Coordinator of Student Involvement, Sarah Holloway, in Brown 274 or for an initial meeting and forms.
  2. Find a HBU faculty or staff sponsor.
  3. Gather at least five (5) currently enrolled HBU students with interest in the organization who want to assist in its formation.
  4. Two meetings may be held on campus to recruit members and develop the constitution. (Contact the Coordinator of Student Involvement to reserve a room through Ad Astra)
  5. Submit a copy of the proposed constitution and bylaws along with the completed Student Organization Approval Form to the Student Involvement Office. These documents must be completely filled out. A sample constitution is available if requested.
  6. The Coordinator of Student Involvement will review materials with organizational officers and follow up with any necessary edits to the proposed constitution.
  7. Once approved, the Director of Student Involvement will review the submitted documents and give their approval. The approval packet will then be passed along to the Student Government Association.
  8. SGA will the proposed organization to present at a meeting. You may have up to three representatives that will give a brief presentation about the purpose of the organization and why they feel like it would benefit HBU. SGA meets every Thursday at 8 pm in Hinton 207. SGA will vote on the submission.
  9. With SGA’s approval, the Associate Provostfor Student Life will give the final approval.
  10. Upon approval a charter is issued to the organization and the club becomes an officially recognized student organization.
  11. A follow up meeting will be scheduled to address the responsibilities and policies for a recognized student organization.
