I.OPENING

Cheryl Schilling, SHRMA President, called the meeting to order, welcoming all attendees.

If anyone has any ideas for future meeting topics, please let us know.

II.PRESENTATION:

  • Jay updated the group on pending state legislation, and recent developments in labor and employment law.

III.PROGRAM UPDATES:

OIS –Jade Freeman discussed the following:

  • ZT45 – strongly suggested for agencies to work requests (errors) that appear on this report. The discrepancies can potentially affect the employee and agency (over/under deducted quotas, invalid payout quantities, overpayments, invalid quota balances, etc.).
  • LaGov Unavailability – all LaGov systems (including LEO) will be down from 5:00 PM, Friday, May 29th – 7:00 AM, Saturday, May 30th for system maintenance.
  • Early Off-Cycle Closure – off-cycle will close at 3:00 PM, Friday, May 29th.
  • CATS Online Time Entry – there is a change to WAE employees; any employee with an active WAE quota record will now only see the option ZWAE in their drop down menu.
  • Supplemental Pay (Wage Type 0220) – effective 06/22/2015, supplemental pay will no longer be LASERS and Deferred Compensation 457 Retirement eligible.

OSUP –Cindy McClure discussed the following:

  • Memo 2015-37 was released regarding Annual SCCC Notification – Request for Coordinators.

LASERS – Janet Harris discussed the following:

  • DROP – If a member is ready to enroll in DROP, but is already outside of the 60 day enrollment window (to be eligible to participate for the full 36 months), they should select “MAX” if they wish to participate for the maximum time.
  • May fax the DROP application to LASERS, and then follow-up with the DROP originals in the mail.
  • LASERS launched a new initiative for millennials – Millennials Investing Now for Tomorrow (MINT).
  • Ellen Catherine (with DOTD) did mention that they have employees enrolled in DROP that have been contacted from an outside company, claiming to be with LASERS. LASERS advised they would never contact a DROP enrollee in such a fashion, and any additional information obtained should be forwarded to LASERS.

Civil Service –Lindsay Ruiz de Chavez discussed the following:

  • HR Panel will be tomorrow, at 9:00 AM in the Thomas Jefferson Room (Room 1-136A&B) of the Claiborne Building. The topics will include the upcoming Civil Service recentralization (regarding qualifying applicants and allocating SF-3s).
  • Reminder – per CS Rule 22.2, an appointing authority shall obtain the CS Director’s approval before making a permanent appointment to any job at or above MS-520, AS-620, SS-419, PS-115, WS-218, or TS-315 between the date of any election for a statewide elected office (October 24, 2015 – January 11, 2016).
  • The Governor approved the proposed pay plan changes as outlined in General Circular 2015-011. The effective date of the changes will be June 5, 2015.
  • Dunbar Nominations – Friday, September 11, 2015 is the deadline to submit nominations.
  • The Quarterly HR Director’s Meeting for June 3, 2015 has been cancelled.

Deferred Compensation –David Ariazza discussed the following:

Office of Group Benefits –Dean Moberley discussed the following:

  • Due to ACA reporting requirements, social security numbers are required for all dependents.
  • In the near future, there should be an option under the “Misc. Documents” tab to view the report for your agency to determine if there any missing numbers.
  • OGB recently sent an email with revised health insurance rates, effective July 1, 2015 – the new rates are now divisible by two.
  • Special Enrollment Period – update address, if contacted to do so.
  • The reports for the Special Enrollment Period are now available, if you do not have a report, your agency didn’t have any employees make any changes.
  • Retro-Termination Emails – if submitted after 30 days, have to pay.

IV.CLOSING

Cheryl Schilling adjourned the meeting. SHRMA is looking to host another mini-conference in the Fall of 2015. Please let us know if you’d be interested and able to attend.
