State Convention-2017 General Registration Instructions

FULL REGISTRATION for the 97thNova Scotia Annual State Convention-2017on May 19th, 20th, & 21st is completed by following the STEPS listed below.

Step 1 – Selection of “DELEGATES/ALTERNATES”and completing the “Delegate Credentials Form”

Your Council is required to select TWO delegates for the Convention. In total eachCouncil will selectTWO(2) DELEGATES and TWO(2) ALTERNATES. The Primary Delegate(the Grand Knight) and2nd Delegate (elected from theKnighthood Degreemembership) attend the Convention. These delegateswill be the voting representativesfor your Council at the Convention. The 1stand/or 2nd Alternate will ONLY attend the Convention as voting representativesIF either one of the Delegates is unable to go.

Once your delegates and alternates have been selected, you will be required to fill out the “Delegate Credentials Forms”. The forms must be filled out in triplicate (Blue, Yellow and White) for each delegate and alternate. The completedBlue copiesof the forms are to becompleted and returnedto the STATE SECRETARYJim MacDonaldby: regular postal mail ORby scanned e-mail attachment no later thanAPRIL 1st, 2017. (The State Secretary’s mailing Address is: 142 Water St., P.O. Box 337, Pugwash, NS, B0K 1L0.) The White copiesare to be retained by the council. The Yellow copies are to be brought to the Convention by the delegates and presented at the registration desk in May.(BE SURE TO AFFIX THE COUNCIL SEAL TO ALL COPIES OF THE CREDENTIAL FORMS BEFORE MAILING)

Step 2 – Booking of Hotel Rooms –“RESERVATIONS”

If you are staying at the hotel for the Convention, you must book your own hotel rooms directly. The Convention Committee does not book rooms for delegates. It is recommended that, if at all possible, all Convention registered Knightsconsider staying at the hotel, even for councils located in the Halifax and Dartmouth area.

Your hotel reservations must be made and confirmed no later than April 14th, 2017. You may book your hotel rooms by contacting The Westin Nova Scotian hotel at 1-888-627-8553. PLEASE INDICATE to the hotel, at the time of booking, that this is for the Knights of Columbus State Convention. This will ensure the preferred rate is charged and the booking is credited to the Convention. You can startbooking your RESERVATION at any time.The Room Rate is $159.00 plus appropriate taxes. There is a $5.00 per day charge for hotel parking. It is gated with on site security. Normally the charge is up to $18.00 per day but has been reduced for the Convention attendees only. You will be given a gate pass to enter the parking lot on your arrival.

Step 3 – Registering for the Convention – “REGISTRATION” and completing the “Convention Registration Form”

1)Each KNIGHT attending the Convention must fill out a “Convention Registration Form”, included in this e-mail package. Thisincludes any Delegates, State Executive, District Deputies, State Appointees and Guests. It is very important that each knight register on their own form. This means – 1 Knight per separate form (wives are included with their husbands on the sameform) – So please make additional copies of the blank form if you require them. Please do your best to fill these out accurately and completely.

2)PLEASE NOTE THAT IF THE ATTENDEE’S WIFE IS PLANNING TO ATTEND THE “LADIES PROGRAM”, THIS MEANS THAT THEY WILL ATTEND THE SATURDAY LUNCHEON AS WELL. Since we need to plan the numbers to prepare for the luncheon it is important that a commitment to attend the Ladies Program and the Luncheon is kept. THERE IS NO COST TO THE LADIES TO ATTEND THE FULL LADIES PROGRAM INCLUDING THE SATURDAY LUNCHEON. WE JUST NEED YOUR COMMITMENT.

3)Please note that ALL CONVENTION ATTENDEES are required to submit the Registration fee of NINETY-FIVE DOLLARS($95.00) along with their “Convention Registration Form”. (WIVES ATTEND WITH THEIR HUSBANDS WITH NO EXTRA REGISTRATION FEE)

IF YOU ALSO PLAN TO ATTEND THE STATE CONVENTION BANQUET ON SATURDAY EVENING, THE COST IS $65.00 PER PERSON.

4)You will need to mail outyour “Convention Registration Form” ALONG with a cheque for Registration and Banquet fees to the STATE SECRETARY-Jim MacDonald,at the address indicated on the Registration Form. The State Secretary needs to receive all forms and payments byFriday April 21st 2017. Please verify your cheque amounts before mailing to ensure the correct amount is paid.

The Convention Committee opted for the Westin Nova Scotian Hotel this year. The Ramada Inn is closed from February until July for renovations. The Holiday Inn in Dartmouth was not acceptable based upon last year’s well deserved complaints from the membership. The WTCC is far too expensive. The Best Western cannot accommodate the State Banquet numbers. In the end and after much negotiation the Convention Committee was able to work out the best possible financial agreement with the Westin Nova Scotian. It is a beautiful facility and they have substantially reduced their meeting room and guest room rates for us, in part due to the Victoria Day weekend dates of the Convention.

Please remember that onlyCOUNCILSand STATE EXECUTIVE send votingDELEGATES to the Knights of Columbus State Council Convention. These Knights follow Step 1, Step 2, and Step3of the Full Registration Process.

All others who attend the Business Section of the Convention are 3rd Degree Knights who register as District Deputies, State Program Directors, invited State Appointees, Past State Deputies, or Guests. They follow Step 2(if they plan to stay at the hotel) and Step 3of the Full Registration Process.
