Committee Meeting Minutes – 3 February 2015

2. Confirm Minutes / Minutes of the meeting held 2 December 2014 were confirmed. Proposed by KB. 2nd LG.
3. Matters Arising / The following provides a summary of new matters arising from the last committee meeting as well as ongoing action items.
(a)  Letter forwarded to Marie Darke regarding her preferences for proposals to honour Brian Darke. KB to maintain contact with Brian’s family. Ongoing.
(b)  By-laws. The draft B-laws have been sent in .pdf form to the wider Club as part of the consultation required. It was not the Committees' aim to achieve consensus within the wider Club for the proposed changes. Comments received were discussed and By-laws amended where it is believed necessary / appropriate.
(c)  Reprint the MG Troubleshooting Guide document. Brian Calder has produced 50 copies for the Club. MH to publish document on website Ongoing
(d)  Tappet Chatter review. Ongoing. / KB to continue to monitor
TC to respond to members who submitted comments.
TC to amend draft By-laws in accordance with Committee decision.
MH to publish on web.
4. Matters Under Review / (1)By laws. Referred to above in 3(b). All comments received were discussed. Some changes will be made to draft By-laws as a result. It should be noted that KB abstained from discussions regarding partners of Life members receiving ongoing complementary membership.
(2) Tappet Chatter Review. Referred to above in 3(d). TF provided Committee with an overview of the activity of the Sub-Committee and discussed in general terms what he is proposing to put in Tappet Chatter and cover in the presentation at the March monthly meeting. Ongoing
(4) Risk plan/OHS. No matters identified

8. Sporting Secretary / KB of the following events:
·  first Historic racing meeting for the year is at Wakefield Park over weekend 21/22 February
·  the Phillip Island Classic is over weekend 7/8 March, and
·  the first Club Motorkhana is on 22 March.
Sporting activity / KB advised the cost of running the first Motorkhana for the year will be $90 for the CAMS permit and $950 Hire of the TISC facility. KB also sought Committee approval to raise Gymkhana entry fees from $40 to $50 for senior competitor, $25 for MG Car Club members driving an MG and $0 for 1st timer MG Car Club members driving an MG. Juniors will be $20 (half price when driving an MG). Agreed by Committee
9. Social Secretary / TF advised:
1.  Annual Weekend Away (AWA) to Snowy Mountains Fri 10 to Sun 12 Apr 15. Accommodation reserved at Jindabyne Motel at $110 a night including breakfast. Organisers are Peter and Hella Dalton, John and Margaret Cooper and Graeme and Jo Corbett.
2.  Mid Weeks Meanders to commence again in Mar. They will take place on 2nd Thu of the month, meeting at 11.00am for a 11.30am departure. Locations will be published in Tappet Chatter and updated in the website calendar. Graeme Corbett will provide details to the Secretary for the monthly email Social Bulletin. The first run will be to Tarago Hotel on 12 Mar. No run in April as it clashes with AWA. The Gunning Telegraph Hotel will be the destination for the run on 14 May.
3.  BBQs. To be discuss with Peter Daly and Tony Roberts at the next meeting and ask them to provide forecasts for Tappet Chatter and the monthly email Social Bulletin.
4.  Monthly Social Runs. Generally on 3rd Sun of the month. Details will be posted in Tappet Chatter and the website. Graeme Corbett or TF will provide details to the Secretary for the email Social Bulletin. First run to Corrin Forrest on 22 Feb. March run will be on 29 Mar to Jugioing to meet with the MGCC Wagga Wagga. No run in Apr due to AWA. Details of runs from May to Dec will be published when known. Dates have been split between the Social Team to cater for absences of each of us.
5.  Spring Time Tour. A proposal that Tasmania be the destination for the 2015 STT has been discarded due to cost and seasonal weather considerations. An alternative proposal for a Broken Hill tour is currently being considered by the STT planning group. Proposers are requested to provide details of dates and if sufficient members wish to attend, the Committee will be asked to approve the event and provide financial support to planners from Shannons Sponsorship.

10. Asst Sec (Display) / GR advised:
1. Wheels 2015 is on Sunday, 8 March in Kings Park. Of particular importance is the new Permit arrangements necessary for all display vehicles as required under the new Legislation 'Open Area Parking Rules 2014' that came into effect 1 February 2015. All participants will receive a Permit sticker that must be displayed. Drip trays / mats are required.
2. The Club 2014 Concours d'Elégance will be conducted in conjunction with Wheels 2015 on 8 March. However, the new category of Pride of Ownership will not be launched at Wheels but rather at the 2015 Concours d'Elégance in conjunction with Terribly British in December 2015.
Noted and agreed by Committee / GR to finalise judging criteria for Pride of Ownership category prior to Terribly British 2015.

13. Standing Business
CACTMC / GR advised:
1. The Council is responding to concerns of misuse of some CRS vehicles. The CRS is to be tightened up with greater control by participant Clubs. The MGCCC is not the focus of the Council's concerns but amended arrangements are being considered for all participant Clubs.
2. The Council received a presentation by a company titled Our Car Club that has developed an on-line data management software program specifically for Car Clubs. GR offered to send more details to Committee members. To be discussed further at future meetings. / GR to monitor
Natmeet / GR advised of the difficulty he was experiencing in finding accommodation anywhere in the vicinity of the Natmeet venue. Noted
CRS events approval / No new items
14. General Business / The Committee discussed how the new arrangements were going regarding the Club's Garage equipment at Fyshwick. LG advised there have been a few users over the Christmas period and no difficulties have been experienced. The Committee will monitor developments to ensure the new arrangements are working to LG's satisfaction.
TC raised the matter of the Club's Regalia. It was suggested that it would be timely to conduct a full audit of the regalia on hand to provide the information required by the Club Financial Auditor. / TC to discuss with Tony Roberts at February meeting.
