Job Title:Accounts Support Assistant

Job Location:St Michael’s Hospice

Responsible to:Accounts & Payroll Manager

Accountable to:Head of Finance & IT

1.0JOB SUMMARY

To assist the Accounts team with daily, monthly and yearly processes including ad hoc administrative duties. To assist the Accounts team in keeping the accounting records associated with St Michael’s Hospice and St Michael’s Hospice Retail Company. To report to the Accounts team regarding the day to day tasks associated with the accounts department.

2.0PRINCIPAL RESPONSIBILITIES

2.1Counting and preparing the takings from all sources connected to the

St Michael’s Hospice Companies.

2.2Analyse income onto banking consolidation sheets in preparation for SAGE input.

2.3Receive and check supplier invoices and arrange for appropriate authorisation.

2.4Control of petty cash systems including the payment of staff and volunteers expenses.

2.5Issuing floats for various functions as and when directed by Accounts Assistants.

2.6Liaising/communicating with other departments of the Hospice regarding income received and other queries as required.

2.7Dealing with incoming queries in a timely professional manner.

2.8Carry out other duties associated with the finance department as directed by other members of the Accounts team and the Accounts and Payroll Manager

3.0ADDITIONAL RESPONSIBILITIES

3.1To carry out duties with full regard to the Company’s Equalities and Diversity Policies.

3.4To carry out any other duties, within an appropriate level of responsibilities as required.

3.5To undertake flexible hours as and when the need arises to maintain safe patient practice.

3.6To ensure confidentiality at all times within the Hospice

3.7To support and participate in the fundraising activities of the Hospice wherever possible.

3.8To be an ambassador for the Hospice.

3.9To ensure that the disclosure and use of confidential staff information is both lawful and ethical, and to recognise own responsibility for compliance with relevant legislation.

3.10To promote, at all levels, the Company’s vision, values and strategic objectives.

3.11To hold DBS and Occupational Health clearances appropriate to the role. Note: these are obtained and checked as part of the recruitment process and reviewed in line with company policy or if a change in circumstances is declared or comes to light.

Education/
Qualifications / Excellent numeracy skills to Key Stage level 3 or above
Good literacy skills to Key Stage level 2 or above / Knowledge of Book keeping and Sage Accounts software
Experience / Experience of working in an office / Experience of working in a healthcare or charity setting
Skills/Ability/
Knowledge / Good Microsoft Office skills (Word, Excel, Outlook) / Understands the principles of VAT accounting
Personal Qualities and other requirements / Ability to work on own initiative
Ability to work to strict deadlines and be methodical and well organised
Excellent communicator
A high level of accuracy and attention to detail
Willingness to undertake training as required
Physical effort
Able to move/lift coin containers, banking bags and coin floats from a low level. Able to stand for periods of time, if needed, to operate cash counting machines
Mental effort
Able to prioritise and adapt to change at short notice
