The Supplier Business Classification Enhancements encompasses the following features:

It allows the buying organization to capture multiple classifications from different certifying agencies.

Additional attributes of the classification can be captured which help the administrators manage the classifcations better.

A new setup page named Manage certifying agencies is introduced which provides ability for the buying organization to create/update/end date the certifying agencies and associate them to the classifications.

In the event of expiring classifications, it triggers expiring and expired classification notifications to the supplier contacts.

Slide 7 - Capture Multiple Supplier Business Classifications

The enhanced business classifications table helps the buying organization to capture multiple certificates belonging to the same business classification that were issued by different certifying agencies. For example, it is common for a supplier to be certified in multiple jurisdictions as a minority owned business. In such cases multiple certifications need to be managed.

While capturing the certification the list of associated certifying agencies can be filtered for the specific classification that is selected thus making it easier for the user to capture the agency.

If the supplier administrator could not create the certifying agency in the Manage Certifying Agencies setup page, they can still capture the certificate by selecting the relevant classification and capture the agency on the fly. The certifying agency can be quickly captured through the Create Certifying Agency popup in the LOV option and the association with the classification is automatically established.

Slide 8 - Capture Multiple Supplier Business Classifications

Many companies across the globe have strict supplier diversity requirements hence users maintaining classification information are asked to verify the accuracy of the information that is provided.

For this purpose, a confirmation message in form of a popup is introduced when the user saves the classification. This ensures that all the classification details given are valid and authentic. Also, the name of the supplier contact that provided the classification details can be captured.

New suppliers, during registration, will be able to capture the agency that is not found in the list by using the feature of capturing the agency name in the fly. The supplier user can quickly capture the certifying agency in the Other Certifying Agency field and can submit their registration request thus making the registration process seamless.

Capturing multiple certifications of the supplier from multiple jurisdictions assist the buying organization in managing the suppliers that have multiple certifications and award business appropriately

Confirmation popup helps to verify the accuracy of the classification information for companies that have strict supplier diversity requirements and helps maintaining the responsibility on the supplier in providing valid classification information

The following new attributes of classification are captured:

Status: The classification status i.e Current, Future Dated and Expired

are derived based on the start date and the expiration date of theclassification in comparison to the system date.

Current = valid as of today

Future Dated: Start date is greater than today

Expired = Expiration date is earlier than today

Start Date: The date from which the classification is valid.

Provided By: The name of the supplier contact that provided the classification information.

Confirmed On: The date in which the classification was verified.

In addition, the table supports attachments. Multiple attachments can be maintained for each classification to record supporting documentation.

Notes allow supplier administrators to record any additional information related to the classification or details about discussions with the supplier about their certification.

New suppliers will be able to use these features of providing attachments and notes during registration.

Since, certification processes are organized to assure that a business seeking certification is really owned and controlled by members of the diverse community it becomes important for an organization to capture all the diversity information of the supplier so as to have better control on the supplier.

Capturing classifications with multiple states helps the buying organization retain historical diversity information and also to identify the expired classifications.

When awarding contracts based on diversity, attachments help authenticate the supplier's claim of belonging to the specified group.

Allows to maintain the certifying agencies that are recognized as authorized organizations for issuing classification certifications.

The page helps in associating the certifying agency with relevant business classifications which allows to filter the relevant agencies when entering new supplier classifications.

The Manage Certifying Agencies page improves control on the certifying agencies and saves time in validating the submitted classifications

Slide 15 - Supplier Notifications for Expiring Classifications

This is a supplier portal feature that sends notification to supplier users about the impending classification expiration so that the supplier can take necessary action either by renewing the expiring classification or apply for new classifcation

The notification parameters of when to trigger the notification can be set in Configure Supplier Notifications setup page.

The supplier contact who also is an administrative contact and has an active user account can receive notifications prior to the classification expiry based on the notification parameter that is set. Also, reminder notifications are triggered in regular intervals based on the notification parameters. Such notifications, helps in maintaining the business continuity of the supplier with the buying organization.

An expired classification notification is triggered for classifications when expiration date passes.

Notifying the supplier regarding impending classification expiration helps the supplier to renew its diversity status and maintain business continuity with the buying organization thus avoiding repercussions such as contract termination.

Now let’s look at the summary of Business Classifications enhancement features I have talked about today:

The business classifications table allows capturing multiple classifications for a supplier issued from different certifying agencies. The enhancement assists in capturing the additional attributes of the classification such as Status, Start Date, Provided By and Confirmed On in addition to the Attachments and Notes.

Manage certifying agencies setup task helps you to recognize authorized organizations for issuing classification certifications and associate the agency to a classification.

The functionality also allows you to trigger expiring, reminder and expired classifications notification to the supplier contact.

For triggering supplier notifications on expiring, expired and reminder classifications an ESS process needs to run to identify all the classifications across the supplier master that require a notification, as determined by the parameters set in the configure suppier notification setup page. The ESS job name is Supplier Business Classifications Notification. It is recommended this process is scheduled to run daily.
