Site Safety Rules and General Information
Please bring this advancing document with you and present it to security at the gate upon arrival.
Also within this email is a Traders Fire Risk Assessment which must be brought to site and completed when you have finished setting up your stall. You will not be allowed to commence trading until it has been signed off by the trader manager.

Please remember all stalls are on grass – do not forget your pegs and weights if you are in your own gazebo.
To ensure that this event runs smoothly and without incident, please read and follow the instructions given below.
A safety inspection will be completed each day before the site is opened to the public.
Any safety issues highlighted will be raised with the stallholder. Every effort will be made to resolve the issue, but could result in equipment, displays or goods not being allowed
on site.

Arriving at the site
ARRIVAL TIME -
Set up times: 9.00am onwards
Trading times: 12pm-6.45pm
Site must be cleared by: 8.45pm
Vehicle curfew: 11.00am - 7.30pm approx (vehicles will not be allowed onsite until the event has been cleared and you’ve been given permission to move.)
STRICTLY NO VEHICLE MOVEMENT DURING THE VEHICLE CURFEW, ALL VEHICLES WILL NEED TO BE REMOVED FROM THE EVENT SITE BY THE TIME THE VEHICLE CURFEW COMES INTO AFFECT.

Please arrive via Vehicle Gate 1, off East Churchfield Road by the railway line. Please see enclosed map for directions.

On entering the park, drive towards the park roundabout and café. Security will hold you there and then contact the Trader Manager or Assistant who will come to meet you and show you to your pitch.
There is strictly NO PARKING available onsite. Once you’ve unloaded your vehicle please remove your vehicle from the site by 11.00am. There will be a one way system in place, please exit via Vehicle Gate 2 onto East Churchfield Road.
Your vehicle pass must be displayed in your vehicle windscreen upon arrival to gain access to the site. When driving through the park, please be aware that members of the public will still be using it and move at no more than 5mph. Vehicles over 7.5 tonnes are not permitted on site
Event close
In the interests of public safety vehicles will not be allowed on site for the break down on Saturday afternoon until the event has closed and the public dispersed.
The event closes at 7pm and security staff will be on hand to clear members of the public from the site as quickly as possible. The earliest time you will be allowed to bring vehicles on to site is approximately 7:30pm, but this is at the discretion of the Security Team.
Do not go and get your vehicles until Security or the Trader Manager has told you to do so. Queuing on the public road will cause unnecessary traffic congestion.
General safety
· Any process involving a flame or heating element must be positioned away from combustible material.
· Any demonstration that might result in material being ejected must be suitably guarded to protect visitors.
· Combustible rubbish created by stall holders must not be allowed to accumulate during the event. It is stall holders responsibility to ensure this is taken to the skip provided.
LPG (liquid petroleum gas) Cylinders
All gas appliances must have received a gas safety certificate within the last year. Any equipment found not to be appropriately tested will not be allowed on site.
Spare LPG cylinders must not be stored in or around the site. A secure storage area is provided where all spare cylinders must be correctly labelled and stored. Please ask a steward who will arrange for this area to be opened.
Rubbish
You are expected to clear your pitch area and remove your own rubbish at the end of the day.
Do not leave waste oil or plastic crates.
Electrical Equipment
Only electrical equipment that has been tested within the past 12 months can be used in this event.
· All electrical equipment including extension leads that are brought on site must be tested for electrical safety at a suitable frequency. Proof of testing may be a certificate or sticker on the equipment.
· Pre-booked Electrical sockets will be supplied in the marquees at 240v.
· Extension leads must be unwound and not plugged into one another to create a longer cable.
· 4 way adaptor plugs are not permitted.
· Sockets and plugs are not to be placed outside the marquees
· Cables must not run across walkways in front or behind stands creating a trip hazard.
Equipment (General)
· Any equipment used on site that has moving parts must be appropriately guarded to protect user and members of the public.
· All cooking equipment must be appropriately guarded, placed on a stable base and away from any combustible material
Generators
Generators will be active from 7am to 7pm each day.
Power will be disconnected EACH night. Your stalls and non-refrigerated stock can remain on site. There is security but the event cannot take any responsibility for loss or damages.
Please ensure you have the correct cables for your required power – unless you are a sponsor we do not provide 13amp to 16amp connector cables.
Hygiene
Hygiene certificates must be available for inspection and a hygiene unit is provided on site for traders to use (situated on the grass area adjacent to the central fountain), which has equipment washing facilities.
Environmental Health Officers will be on site to offer advice and to oversee any food hygiene issues.
Emergencies
Any emergency must be notified to the nearest steward who has contact with event control and who will contact the emergency services if required. Details on emergency situations will be communicated via the public address system. Please ensure that all instructions are followed without delay
