Bus Drivers and Chaperones

To help your trip be the best it can be, please review the following.

Preliminary Information:

A wrist band is required for admission to ScienceFest. Orange wrist bands are provided to students, teachers, bus drivers and allotted chaperones (ratio of 1 adult to 5 students*).

If you have students not allowed to be photographed or videotaped, have them wear a no-photo sticker. We have provided some stickers in this packet, however, if more are needed;the stickers will be available at the Information Booth.

No Concessions / Bring Lunches

No concessions will be open, all students and chaperones should bring lunch.

In order to provide more educational material for your classroom, ScienceFest will be providing gift vouchers instead of providing lunch (please see enclosed Voucher Letter).

ScienceFest volunteers will meet each bus with cloth backpacks that will provide students with an option for carrying their lunch. This will also allow students to maximize time spent with the over 40 interactive exhibits at ScienceFest!

*New Chaperone Ratio / Event Security Measures

In an effort to continue providing a safe and enjoyable learning environment for the students and other attendees of ScienceFest, the committee is instituting changes to the event’s chaperone attendance policies.

First, we have elected to drop the ratio of chaperones to students from 1 per 7 to 1 per 5.

Second, we will now be enforcing a STRICT policy of non-admittance to any chaperone that is not included in the chaperone list of 1 per 5 students.

Third, Extra chaperone wristbands will not be available at the entry of ScienceFest.

We believe these changes will provide an additional measure of convenience for the event by allowing more chaperones for each class, while ensuring a greater level of security for all registered attendees of the event.

ScienceFest Itinerary:

THURSDAY – MAY 3, 2018 OKLAHOMA STATE FAIR PARK

ScienceFest Opens 8:00 AM Activities in Centennial Building & Modern Living Building

Mad Science show times9:30, 10:30, 11:30 AM, & 12:30 PM in Hobby, Arts, & Crafts Building

ScienceFest Ends 3:00PM

You may choose among different activity stations and exhibits. All activity stations and exhibits will be ongoing throughout the day.

Arrivaland Parking

ScienceFest begins at 8 AM but you may determine your group arrival time.

The recommended entrance to the State Fair Park is at Gate 5 Located off May Avenue between NW 10th and Reno. Designated parking for the buses has been reserved in the parking lot just south of the Centennial Building.

Chaperones or small groups traveling in automobiles will park in available parking spaces in the same vicinity of ScienceFest. A map is enclosed and will also be posted on the ScienceFest website (under attendee information).

As mentioned above, ScienceFest volunteers will be in all areas to provide cloth backpacks for students to carry theirlunches and to otherwise provide assistance as needed.

What about Lunch?

REMINDER: No concessions will be open, all students and chaperones should bring lunch.

Recycle bins will be positioned in all three ScienceFest exhibition buildings, and we encourage individuals to recycle.

Departure Procedure

ScienceFest will end at 3:00but you may determine an earlier departure time if necessary.

Make sure all teachers, chaperones and bus drivers know the bus departure time. Buses will depart from the same location as arrival.

ScienceFest volunteers will not coordinate the departure time for buses.

Use extreme caution in departure as there will be pedestrians in the area.

Inclement Weather

In case of inclement weather for the OKC metro, please check for the latest ScienceFest Committee updates.

If inclement weather near your school is preventing your class from attending ScienceFest, please use the committee’s Registration email inbox,, to notify the committee.

Additional Information

There will be a scavenger hunt that you can participate in with your group throughout the day to learn more about careers in Science. In an effort to go paperless, participants must have a Smartphone with a QR reader. Students that participate will receive a participation gift. On your way out, or at any time you complete the Scavenger Hunt, stop by the “Giveaway Table” to pick up the prize.

Talk with the children about what to do in case of emergency. Children should ask for assistance from anyone wearing a ScienceFest T-shirt. Sheriff Deputies will also be on hand providing security.

AnInformation Booth will be located on the street just east of the Centennial and Modern Living Buildings for assistance as needed.

An EMT will be available for first aid by the Information Booth.

We ask that students wear similar shirts if possible. This will help you keep up with your students and help us identify any lost children during the event.

There are drinking fountains located at various points in the buildings which can be used to refill water bottles, if desired.

ScienceFest volunteers will be available to answer questions and assist as needed.
