Senior Payroll Administration Officer
A vacancy exists within the TwinCare Group for a Senior Payroll Administration Officer. This position reports directly to the Payroll Manager.
Key responsibilities:
a) Payroll
· Maintain schedules of all monthly and annual salary related procedures and systems;
· Administer the manual and automated returns required for the monthly and year end payroll cycles;
· Preparation, processing and running of monthly salaries and salary-related processes and interfaces using the company VIP payroll system;
· Distribute monthly payroll slips to employees;
· Administer all salary related deductions and third party payments related to these;
· Make approved salary related adjustments;
· Resolutions of salary related queries with employees;
· Produce payroll related statutory reports;
· Produce payroll related management information, as required by the company
b) Time and Attendance
· Administer employee engagement, employee changes and employee termination on the company time and attendance systems, in line with employee specific attendance and overtime criteria;
· Prepare and finalise the variable time and attendance system interface schedule in accordance with the payroll cycle. This also applies to all correction runs;
· Ensure timecards are signed off weekly by all Site Users and Approvers for all sites within their sphere of responsibility;
· Routinely run interface files in accordance with the company time and attendance processes and procedures;
· Ensure that the payroll is locked after interface and that no further changes may be made;
· Ensure that time and attendance system records are accurate, valid and complete per employee;
· Reconcile labour broker and contractor invoices with time and attendance figures
The ideal candidate will:
· Have a Matriculation certificate
· Have a payroll specific qualification
· Have a minimum of 5 years working experience in a similar payroll job
· Preferably have experience in the use of the VIP People Payroll system but experience with other payroll applications will be considered
· Have in-depth knowledge of statutory and discretionary payroll deductions and PAYE calculations
· Have basic accounting knowledge
· Have experience in managing a significant payroll, with high volumes of salary input
· Have excellent inter-personal skills and be able to maintain a high level of professionalism when dealing with staff, management and external parties
· Have a high level of computer literacy and be proficient in the use of MS Office applications
· Have the capability to operate under pressure
· Have a methodical and organised approach to their daily work tasks
· Have a high level of accuracy and attention to detail
· Have the ability to maintain confidentiality
· Have the ability to build relationships and work collaboratively and consultatively within a team environment
This position is graded at Peromnes 7 level and preference will be given to EE candidates.
