RTJBL REQUEST FOR PROPOSAL

FOR FIELD MAITENANCE AND GROOMING OF ALL THREE (3) BASBALL FIELDS AT RAILROAD AVENUE, WHITEHOUSE, NJ.

PURPOSE OF AGREEMENT:

RTJBL WISHES TO SOLICIT PROPOSALS FOR THE 2010 MAINTENANCE AND GROOMING OF WHITEHOUSE N.J RAILROAD AVENUE BALLPARK; FIELDS A, B AND 90’ FIELDS. THIS RFP IS FOR THE SAFETY AND APPEARANCE OF OUR BASEBALL FIELDS AND BALLPARK.

SCOPE OF WORK:

THE PROPOSER (VENDOR) SHALL PROVIDE MOWING, GROOMING, WEEDING, TRIMMING, EDGING, FERTILZATION, CHEMCIAL SPRAYING, PESTICIDE APPLICATIONS, FUNGICIDE APPLICATIONS, AERIFICATION, TOPDRESSING, FIELD REPAIR, GAME DAY PREPARATIONS, SEASONAL MAINTENANCE, SPECIAL EVENTS PREPARATION AND CLEAN UP AND ALL OTHER MAINTENANCE AND SERVICES THAT ARE DEEMED NECESSARY FOR THE OPERATION OF RTJBL RAILROAD AVENUE BALLPARK TO BE MAINTAINED IN A PROFESSIONAL MANNER IN GUIDELINES WITH CAL RIPKIN BASEBALL.

THE PROPOSER SHALL PROVIDE ALL REQUIRED SUPERVISION, LABOR, TOOLS (BOTH SPECIALTY FOR BASEBALL FIELDS AND HAND TOOLS), EQUIPMENT, SUPPLIES AND MATERIALS TO MAINTAIN THE RTJBL RAILROAD AVENUE BASEBALL BALLPARK.

MOWING:

IT IS THE RESPONSIBILITY OF THE PROPOSER TO IMPLEMENT A MOWING SCHEDULE FOR THE BASEBALL SEASON MAINTENANCE AND ALL GAME DAY PREPARATION.

MOWING SCHEDULE:

MOWING SHALL BE SCHEDULED ON A REGULAR BASIS AS TO KEEP THE FIELDS IN PLAYABLE CONDITION. IT SHALL BE THE RESPONSIBILITY OF THE PROPSER TO MAKE SURE THE MOWING IS DONE ON A CONSISTENT BASSIS AND AT NO TIME CUT MORE THAN 1/3 OF GRASS BLADE. MOWING SCHEDULE FOR THE MONTHS OF MARCH 15 – NOVEMBER TO BE PERFORMED TWO (2) TIMES PER WEEK DEPENDENT ON WEATHER, GROWTH, AND GAME SCHEDULE. HEIGHT TO BE SET AT 3 ¼” TO 3 1/2” DEPENDING ON TIME OF YEAR.

GAME DAY PREARATIONS

THE PROPOSER WILL BE RESPONSIBLE FOR ALL GAME DAY PREPARATIONS. THIS INCLUDED BUT IS NOT LIMITED TO FIELD PREP, MOWING, CLEAN UP AND OTHER MAINTNENACE THAT IS REQUIRED TO ADEQUATELY PREPARE THE FIELDS FOR GAMES

PREGAME PREPARATIONS WILL INCLUDE BUT NOT LIMITED TO:

  1. DRAG AND WATER THE INFIELD (IF NESSESARY).
  2. RAKE BASE PATHS
  3. FILL IN HOME PLATE AND PITCHER’S MOUND AREA IF NEEDED
  4. CHALK BASE PATHS UP TO THE BATTER’S BOX
  5. MARK THE BATTER’S BOX AND TOUCH UP FOUL LINES IF NEEDED
  6. PAINT FOUL LINES ON GRASS IF NEEDED
  7. GROOM AND SET UP BATTING CAGE PRACTICE AREA IF NEEDED
  8. RAKE THE WARNING TRACK TO ENSURE A SMOOTH AND SAFE TRACK

WEEDING:

THE PROPOSER WILL BE RESPONSIBLE FOR EDGING BASE LINES, CLAY/GRASS AREAS, AND ANY OTHER AREA WHERE GRASS MEETS A HARD SURFACE.

WATERING SCHEDULE:

TO BE DETERMINED AND AGREED UPON BETWEEN RTJBL AND AWARDED BIDDER WITH CONSIDERATION GIVEN TO PRACTICE SCHEDULING, GAME SCHEDULING, AND WATERING RESTRICTIONS BASED ON WEATHER CONDITIONS. ALL LINES TO BE WINTERIZED BEFORE NOVEMBER 1.

FERTILIZATION:

THE PROPOSER WILL BE RESPONSIBLE FOR FERTILZATION OF THE BASEBALL FIELDS. THERE ARE TO BE 5 FERTILIZATIONS PER YEAR 1 OF WHICH IS A GRUB CONTROL. 5 TO 7 POUNDS OF NITROGEN PER 1000 SQUARE FEET PER YEAR.

AERATION:

THE FIELD IS TO BE AERIFIED ONE (1) TIMES PER YEAR. SEEDIND AS
NEEDED. REPLACEMENT OF SOD AS NEEDED.

INSECT/WEED CONTROL:

PRE-EMERGENT IS TO BE APPLIED IN MARCH AND APRIL. POST-EMERGENT APPLICATION WILL BE DONE ON AN AS NEEDED BASIS. SURFACE INSECT CONTROL APPLIED AS NEEDED. SUBSURFACE INSECT CONTROL (grub) APPLIED PROACTIVELY.

IRRIGATION MAINTENANCE:

INSPECT ALL STATIONS ON THE SYSTEM AND MAKE SURE ALL WATERING HEADS ARE WORKING CORRECTLY. ADJUSTMENTS AS NEEDED>

LIP WORK: TO BE PERFORMED AS NEEDED

MOUND WORK: *** TO BE PERFORMED FOR GAME ***

FIELD REPAIR:

THE PROPOSER WILL BE RESPONSIBLE FOR ALL FIELD REPAIR OF THE FIELDS, INCLUDING THE REPLACEMENT OF SOD PATCHES IF NEEEDED. MATERIALS WILL BE PAID FOR BY RTJBL.

DIRT WORK:

DRAGGING, WATERING, ETC... TO BE PERFORMED DAILY DURING THE BASEBALL SEASON FOR ALL GAME DAY PREPARATIONS.

VENDOR IS SOLELY RESPONSIBLE FOR ALL SEED, CHEMICALS,

FERTILIZERS, OR ANY OTHER MATERIALS NEEDED FOR PROPER

MAINTENANCE OF THE BASEBALL FIELD. VENDOR IS SOLELY RESPONSIBLE FOR ALL EQUIPMENT AND TOOLS AND THE SERVICE AND REPAIR OF ALL EQUIPMENT AND TOOLS NEEDED FOR PROPER MAINTENANCE OF THE BASEBALL FIELD. – PLEASE LIST ON SEPARATE PAGE ALL EQUIPMENT VENDORS HAS TO PERFORM ALL FIELD MAINTENANCE AND GROOMING REQUIREMENTS.

VENDOR IS SOLELY RESPONSIBLE FOR ALL FUEL AND MAINTENANCE

CHARGES FOR THE PROPER OPERATION OF VENDOR OWNED VEHICLES

AND EQUIPMENT.

PERMITS, LICENSES AND FEES:

PROPOSER IS RESPONSIBLE FOR ALL PERMITS, LICENSES AND FEES REQUIRED FOR THE PROPOSER TO FULLY COMPLETE SERVICES REFERENCED HERIN. INSURANCE CERTIFICATION IS REQUIRED.

EXPERIENCE:

PROPOSER MUST HAVE 5 YEARS OF BASEBALL FIELD MAINTENANCE

EXPERIENCE AND JUSTIFY SUCH WITH REFERENCES.

BIDS TO BE SUBMITTED TO THE EXECUTIVE BOARD AND WILL BE ANNOUNCED AT THE NEXT AVAILABLE GENERAL MEETING AFTER BOARDS MONTHLY MEETING.

TERM OF CONTRACT

THE TERM OF THIS AGREEMENT SHALL BE FOR A PERIOD OF ONE (1) YEAR WITH AN ANTICIPATED START DATE OF MARCH 1, 2010.
