February 7, 2011

Present: Brian & Gretchen Flynn, Tim Baker, Coach Barry Wallin, Greg & Laura Gogolin, Duane Hillerson, Rhonda Peare and Mary Schultz.

The meeting was called to order by President Brian Flynn at 7:30 p.m.

A copy of the Minutes from the January 17th meeting were distributed with no objections.

Gretchen Flynn provided the treasurer’s report:

Expenses:

Rosemount Community Center (Room Rental) - $26.78

Gretchen Flynn (Reimburse website fees) - $49.99

Interest:

$.05

Available Funds in Account:

$1,284.46

Expenses: Some upcoming expenses were discussed including RHS website fees and ordering a t-shirt for each of the girls to be distributed at the beginning of the season. Coach Wallin also indicated that he had some receipts (expenses) from last season to be submitted for reimbursement. These receipts will be gathered and submitted at the next Booster meeting for approval for payment.

Income: The Boosters will invoice the other schools in the district for the Golf Cards. Coach Wallin indicated this would be for approximately $400.

Update from Coach Wallin: Coach discussed some conference/schedule information. Although the information is still subject to change at this point, he indicated that the schedule has been linked to the booster website.

Information packets were distributed to those present regarding the Coach’s Player Meeting scheduled for tomorrow (Tuesday, February 8, 2011) after school, and Wallin briefly discussed some of the items that will be covered in this meeting. The girls will also begin pre-season pilates on Tuesdays and Thursdays in the Student Center AVC after school.

Wallin announced that two new people have joined his coaching staff:

Development Coach – Jennifer Greenfield

Middle School Coach – Henry Gerten

Gretchen presented the question of whether or not Coach felt we needed to propose a funds goal for the Boosters to cover the program should the program be cut by the school district. Coach’s response was that he felt it was a very good idea to be building a reserve, but he was reasonably comfortable that the program was not in any danger of being cut any time in the near future – and that he has not heard of anything being cut.

Clothing: The clothing order for the girls (uniforms) is due by March 15th – information to complete this is available on the website.

Gretchen has contacted Rambo to provide adult/booster clothing. These items will be ordered online, and they will be sending samples for us to look at. We will be placing two orders (one in the spring after March 15th and one in the summer to include the futures club).

Booster Club Function: The question was presented by Gretchen on how to define the functions of the booster club, setting fundraising goals, etc. Coach Wallin responded that he sees this club to be defined as a vehicle to handle finances, such as food for players, bonding opportunities for the team, purchasing bags, rain suits and clothing, and to help develop and promote a positive program. It was decided at this point that Coach Wallin will submit an annual budget to the booster club and the club will come up with avenues to raise these funds.

He also would like the boosters to find a volunteer to take photographs at team events to be placed into a photo bucket for anyone interested in accessing these. Mary Schultz acknowledged interest in doing this at some of the events. We will seek other volunteers to help cover this.

Golf Card Sales: It was again mentioned that the girls will meet on a Saturday and split up the RHS school boundary area to sell cards followed by a pizza party. This date has not been set yet.

Laura proposed the idea of selling the golf cards at a couple of the remaining home RHS basketball and hockey games. Coach will look into permission to do this, in the meantime we will try selling these tomorrow night (2/8 girls BB) and Friday night (2/11 boys BB). We will look into whether or not we can do this at the Community Center (hockey games).

Some of the girls have already received their first 10 cards to sell and have been very successful.

New Business: The Parent Meeting is scheduled for Thursday, March 31st at 7:30 p.m. in the Student Center AVC at the high school.

Gretchen urged everyone to sign-up for automatic notifications from the website (which is linked to Twitter and Facebook) – this feature is under the “member settings.” This will keep everyone up-to-date with important information, last minute changes, results, etc.

Coach urged us to get the word out about GIRLS GOLF, target young families, futures club, etc. and let him know of any interested 6th – 8th graders.

Gretchen mentioned possibly planning some joint events with the Boys Boosters, such as potluck, bonfire, scramble. This was received positively and we’ll look forward to planning some future events with them.

The next Booster meeting will be held on Monday, March 7th.

Meeting was adjourned at 8:40 p.m.
