ROLE TITLE: Welfare Support Officer

REPORTS TO (TITLE): Services Manager, RBF

LOCATION: Crewe

PURPOSES
To assist the Services Manager to deliver an effective and efficient welfare and advice service to the rail industry, with particular focus on the administration of grants and supporting the benefits committee.
MAIN AREAS OF ACCOUNTABILITY
Welfare Support
  • Be the first point of contact for all grant / support enquiries into the office either via telephone, post, email.
  • Assist the Services Manager with a range of tasks including providing a non-judgmental, practical and supportive welfare service to beneficiaries of the charity.
  • Carry out initial assessments and reviews with beneficiaries.
Administrative Support
  • Provide comprehensive administrative support to the Services Manager including
  • Handling correspondence and enquiries from applicants, through the post, telephone or on line
  • Ensuring all applications are completed in full prior to submission to benefits committee
  • Ensuring all cheques and payments are processed in a timely manner
  • Liaison with area committees over the centenarian process
  • Liaise with other charities over applications
  • Overseeing the quarterly grant process
  • Room booking for the benefits committee
  • Maintain efficient and accurate office filing systems that comply with data protection legislation and to handle sensitive and legal data appropriately.
  • Be responsible for accurate and timely database administration.
  • Liaise with Benefits Committee on administration and welfare matters whenever necessary.
  • Be responsible for the administration of all funds, including the Webb Fund and John Mackintosh fund
  • To generally assist with the running of the office including recording incoming post, outgoing post is ready for collection.
  • Typing minutes of meetings in a timely manner as required.
General Tasks
  • To comply at all times with Health & Safety regulations and safe working practices in accordance with current legislation and as detailed in the Charity’s Health & Safety Policy and Procedures.
  • Maintain continuous professional development by attending necessary training.
  • Promote the work of the charity within the rail industry where necessary.
  • Carry out any other duties commensurate with the post which are deemed appropriate

Skills , Knowledge or Qualifications

  • Understanding of the UK government benefits system (has or has the ability to undertake universal benefits training)
  • Able to deal with sensitive matters over the phone, through correspondence or on line
  • Friendly but professional approach
  • Strong team player
  • Understands the need for good data input and procedures and the importance of data protection
  • Strong administrative skills
  • Strong customer service and communication skills
