RFP-– Cruise Contract

Cherokee Nation Entertainment, LLC (“CNE”) is searching foran established cruise line company to contract for multiple promotional cruise benefits. One Star Rewards has three (3) tier levels based on customer worth that would receive a cruise benefit. The cruise line will give one free cruise to each guest in the top two tiers annually, not including, events that CNE will host throughout the year. There will be at least six (6) cruise-related events during the initial two year term contract.

Companies interested should complete and return the Non-Disclosure Agreement that is included in the RFP attachments to . Additional information needed for the bid,including an invite to the mandatory pre-bid,will be sent after the agreement is received.

Objectives

  1. TIER LEVEL BENEFITS: The cruise line company under contract will award selected members of the Cherokee Nation Entertainment players club with certain benefits in relation to their level of play:
  2. Annual complementary cruises for Multi-Platinum (Tier 1) members.
  3. The highest tier, the cruises associated with this level should be the most appealing of all of the options. It should include more benefits such as all-inclusive options, meal packages, alcohol packages, more elite destinations,best days of travel availability, moreexcursion options, etc.
  4. Cruises for this tier should be no less than 5 days. Unless otherwise requested by the guest.
  5. Cruises for this tier will be awarded based off of the player’s tier level only.
  6. Annual complementary cruises for Platinum (Tier 2) members.
  7. The second highest tier, the cruises associated with this level should be second in benefits only to the Tier 1 options.
  8. Cruises in this tier will be awarded based off the player’s tier level followed by the players ADT. The higher the ADT the better the cruise options while still being second best to tier 1.
  9. Discounted cruise offers up to a certain percentage for Gold (Tier 3) members and CNE employees.
  10. The third tier benefits should include discounted cruise offers up to a certain percentage and should reflect the position of the tier in relation to the upper tiers. No complimentary cruise offers will be made to this group unless they are invited to one of the 6 events or they upgrade in status throughout the year.
  11. Cruise discounts offered in this tier should be based off the players ADT with employees receiving a flat discount rate.
  12. CROSS MARKETING
  13. Marketing opportunities to loyalty members in both databases that do not overlap.
  14. The cruise line awarded the contract will send marketing information to CNE on how they would like to see the packages advertised for better acceptance rates through the different tiers.
  15. If the cruise line opts to send their own marketing information CNE will be given final review and authorization on the mailers and the mailing list. This will insure the databases for each tier do not overlap or mix.
  16. SPECIAL EVENTS
  17. Group and/or General Manager cruise options (revenue share).
  18. This should be similar to the discounted cruise offers in tier three. The discounts for a group cruise should be a larger percentage discount based on the size of the group. Please submit pricing on this option for a range of group sizes no higher than 75 people.
  19. On Property Cruise Events
  20. CNE will host up to 6 cruise events over a 2 year period that invites top players to receive a complimentary cruise based on their worth.
  21. Ideal ADT thresholds will be $250 and higher

If a guest upgrades their tier status during the year and have not already departed on their cruise they will be eligible to upgrade to the cruise their new tier supports. If they have already taken their annual complimentary cruise they will award the higher tier status cruise at the next CNE hosted event or when the new year begins for their club card.

Expectations

A list of eligible player’s for the complementary cruse offer and cruise discounts will be provided to the company at the beginning of the contract term. It will only be sent after all documents have been signed on both sides and the contract is fully in place.

CNE Tier 1 and Tier 2 guests, at the start of the contract, will receive a mailer informing them they have earned a complimentary cruise. It will include contact information for booking should they be ready to accept. The mailer will list details of the cruise they have earned (length of cruise, available ports to sail from, etc.).

All booking will be handled directly between the guest and the cruise line with the understanding that the service agent is representing both the cruise line and CNE. While any amenities above and beyond the complimentary offer including upgraded cabins, shore excursions, etc. shall be borne by the guest. All customer service transactions should be handled with the utmost care and respect to the guests involved.

Terms and Conditions of the Contract

The term of this contract will be for twenty four (24) months from contract execution. Thereafter, CNE will have the option to renew said contract for a period of one (1) extenuating year. CNE may terminate the contract without penalty at any time, with or without cause, by giving the awarded company thirty (30) days prior written notice of its election to terminate. In the event the awarded company fails to perform services or is in default under the terms of the contract, CNE may terminate the contract immediately and the contractor shall be paid only for the services provided, less any damages or costs incurred by CNE in the termination of the contract.

Ave, Catoosa, Ok 74015. Proposals MUST include a copy of your TERO Certification, front and back, to qualify for TERO preference.
