Rest Stop Guide 2018

Thank you for volunteering for the Tour de Cure! Each year, more than one million volunteers offer their time or resources to the American Diabetes Association to further the work of our mission.

The Rest Stop is responsible for serving refreshments and offering support, encouragement and lots of cheering!

Here is some information to help make running your rest stop easier. Thank you for helping us support OUR RIDERS!!!

The Tour de Cure depends on volunteers like you to help the event run smoothly!

General Information

  • Make sure there are 4-8 volunteers for your rest stop
  • Small children and pets will need to have supervision at the rest stops
  • Please carpool to minimize the number of vehicles at the rest stop if possible, and park cars on the opposite side of the road. Do not take up space in the rest stop with volunteer vehicles and avoid parking on the road shoulder where riders will park their bikes.
  • Dress for the weather including rain gear, hats, sunscreen, work gloves, etc.
  • Volunteers are welcome to help themselves to the hydration provided at the rest stop. There will be Styrofoam cups in your container to use for drinks. Volunteers may bring extra refreshments for themselves. Ensure that all volunteers drink plenty of water and sports drink during the day. We’ll provide you with lunch back at the Start/Finish.
  • Alcohol is not permitted at rest stops for volunteers or riders.
  • All volunteers must sign an emergency waiverby the day of the event. The rest stop captain is responsible for providing the volunteer emergency information forms to the headquarters. Please leave in your rest stop bin if you are not coming back to the start/finish.
  • MOST IMPORTANT HAVE FUN AND smile! The Riders will love seeing you cheer them on as they approach and as they depart!
  • Please take the time and take pictures at your rest stop and email them to so that we can post them through our social media.

Supplies

  • Supplies such as Supply bin, port o lets/local facilities, tents, trash can, tables and chairswill be at the rest stop when you arrive Sunday morning (if you would like to have more chairs please bring your own chairs.
  • Please bring your own portable radio/iPod for yourselves and for the riders as they will need a break from the road OR BRING OUT LIVE MUSIC!! Pump it up and pump them up!!
  • Please use trays or platters provided in your rest stop bin for the food (do NOT display or serve food in the cardboard boxes it may arrive in). Plastic rectangle tray is for the trial mix. Small rectangle colorful box is for the crackers, aluminum pans are for bananas and oranges.
  • You will be supplied with food for the riders including bananas (very important), oranges, bread, sport drink individual packets, oranges, peanut butter & jam, granola bars and water.
  • Make sure to use one the sport igloo coolersfor water labels should be affixed (there should be at least 2 per rest stop).
  • Ice will be delivered and replenished, reach out to your onsite HAM operator and/or call on the Walkie Talkie (provided in the rest stop bin).
  • You will receive a “supply bin” containingthe materialsand an inventory list to ensure you have everything you need.

Set Up and Maintenance

  • Please make sure the rest stop is away from the road and leave ample space for riders to enter and leave safely away from traffic. SET UP STOP 15-20 FEET from ROAD! Direct riders to park their bikes in an area to the side to not block the safe entry and exit of other riders.
  • Each rest stop should receive tables, one for food preparation, one for food/ drink service, etc.
  • Check your supplies for food service gloves and always use them. Ice chests or coolers are provided to protect the ice.
  • Arrive at rest stop site at 15 minutes before the time listed, in case you get lost . Upon arrival please prepare your stop so it is READY FOR RIDERS…YAYYYYYYY.
  • You will have Volunteer Shirts to wear; this will help the riders see you, unless you have company branded ones.
  • We ask that you place a sign about .05 mile before your stop that notifies riders that your rest stop is approaching.
  • You are encouraged to have music at your location to add to the fun for both volunteers and riders. Decorations like balloons and streamers are great.
  • Signage
  • We ask that you place a sign about 1 mile before your stop that notifies riders that your rest stop is approaching.
  • You will have one sign to set out that details: how many miles til next rest stop
  • Advocacy/statistics signs (2-3)
  • Rest Stop sponsor sign will only go to certain rest stops
  • Laminate sign for “no gloves”. This can be taped to the outside of our tables so that riders know not to place their hands/gloves in the food.
  • You will have stakes- you will use each to place at the opposite sides of your tents (in a little red bag)
  • Nutritional Fact list- this will be in a plexi for you to place on the table

Food and Drink Preparation

  • Make sure you have igloo coolers. Fill them with ice and water.
  • Cutting instructions for food:
  • Cut bananas in half.
  • Quarter the oranges
  • peanut butter and jelly sandwichesor fluff cut them in half
  • this will allow the riders to eat more easily.
  • All food items should be made as needed).
  • Some rest stops might have other snacks specific to their stop.
  • Present the food attractively in food on trays or platters. Please do NOT serve the food in the cardboard boxes it may come in

  • Do not open jars, bags, or boxes until needed. Unopened product can be sent to a local soup kitchen or community center. Volunteers are welcome to take home leftover perishable foods; e.g., bananas, oranges and bread, etc. Please do not take home unopened peanut butter, jam, energy bars, energy drink, bottled water, paper towels, etc. We use them for other events and upcoming training rides!
  • Contact the rest stop coordinator through your ham radio operator if supplies seem to be running low. Do not run out!

Communication

  • An amateur radio operator (HAM) will be assigned to your rest stop. To avoid duplication of messages, this person has instructions to take orders only from the Rest Stop Captain. Do not ask others to communicate with the operator. Do not ask the operator to perform physical labor. The team captain should take the time to introduce themselves when they arrive.
  • You will also have a Rest Stop Binder in your bin with phone numbers and radios information.
  • All SAG support, any bike medics, Route Marshalls and Management Team members will check-in with your HAM operator for messages as they arrive. Please set aside space for such messages

Safety Information

  • Please be attentive of our riders: if you see anyone who looks overly fatigued or disoriented ask them if they feel they need to have you call for medical staff at your rest stop, or ask them to be seated until you can contact medical personnel. Riders could be suffering from dehydration, heat issues, diabetes highs or lows or other medial issues from pre-existing conditions. Sometimes riders have not trained adequately for the route they have selected and need to be transported to the start/finish area. Alert the radio operator at your rest stop or call the command center.
  • If you witness a serious accident of injury call 911 first, then report it to the Command Center.
  • If you witness an accident or injury to a rider or volunteer, please fill out the Accident Report Form(this is located in your binder). It is important to fill it out as completely and legibly as possible, using the back of the form to provide additional detail. Be sure the form is turned in to the Command Center or an ADA staff member.
  • If a rider has an injury you feel needs medical attention, but the rider refuses to see a medical volunteer or EMT, please fill out an Incident Report Form and write on it “rider refused medical attention”. Ask the rider to sign the form. Whether the rider agrees to sign or not, return the form to the Command Center.
  • If you witness or riders report to you any problem or hazard on the route approaching the rest stop (such as glass or debris on the road causing flat tires, a dog chasing riders, etc.), please use your construction cone in your rest stop bin and/or please report it to the Command Center.

Rest Stop Closure

  • DO NOT SHUT DOWN THE REST STOP until notified!The Rest Stop can be closed once your HAM operator has notified you that all riders have passed your location.
  • Near the end of the ride, you may begin to break down half of your stop to a minimum while you wait for the last few riders to arrive (this would be 1 tent & 1 table and condense left over items) . Make sure they feel as welcomed as the first riders do. They need your support more than anyone does.
  • Please pick up all trash, signs, peelings, water bottles, etc., in the area and dispose of the trash bags as directed (it may need to be taken to dumpsters designated for the event rather than leaving trash cans of the site overflowing). PLEASE RINSE all items with water or use the provided Clorox wipes, so they are not sticky and as clean as possible. Please place all USED utensils in one plastic grocery bag provided in the rest stop bin
  • It is veryImportant! Leave the site in better shape than you found it to make sure we’ll have permission to use the site again next year!
  • Please try to wait for the Rest Stop Van to pick them back up – the single driverwill need your help to load their truck
