POST:Event Fundraiser

RESPONSIBLE TO: Event and Sponsorship Manager

BASE:Fundraising Centre, Claire House Children’s Hospice

JOB SUMMARY

As a key member of the Fundraising Team the post holder will be responsible for managing some of the major fundraising events and activities including third party activity and mass participation events. The post holder will have some responsibility for developing and implementing the events fundraising strategy to include research, planning and marketing, managing on the day activities, as well as creating support structures aimed at maximising the lifetime value of each donor. This position requires the drive and enthusiasm to make things happen.

MAIN DUTIES AND RESPONSIBILITIES

Key duties:

  • To assist the Event and Sponsorship Manager to plan, develop and manage the implementation of an events fundraising strategy to ensure that Claire House develops a sustainable calendar of annual events, generating unrestricted income for the future of the charity.
  • To develop the range of challenge, sporting and community events that Claire House offers, organising designated events within the events calendar.
  • To project manage, monitor and evaluate sponsorship activities for third party events, making recommendations that will achieve set objectives and budgets in the short and longer term.
  • To be responsible for recruiting participants through the delivery of the event marketing strategy that will be developed in line with Event and Sponsorship Manager.
  • To be responsible for providing dedicated participant support through the delivery of an agreed Supporter Care Journey, in order to enhance fundraising potential and develop long term relationships with donors.
  • To champion the events internally, involving and engaging staff and volunteers in supporting and promoting the events.
  • To assist the Event and Sponsorship Manager to manage income and expenditure budgets and to reach the required ROI for each event.
  • To research and identify prospective corporate supporters and assist the Events and Sponsorship Manager with preparing and delivering proposals in order to achieve corporate sponsorship for each event when possible.
  • To take lead on the delivery of the marketing strategy for certain events, as instructed by the Events and Sponsorship Manager, identifying new opportunities as well as making best use of the charity’s existing supporters and networks.
  • To ensure that all relevant on-the-day plans are in place for events that you lead, to include risk assessments, management of staff and volunteers as well as well-defined staff and volunteer roles and briefings.
  • To do a full pre and post event evaluation and analysis reporting to the Event and Sponsorship Manager with conclusions and proposals.
  • To assist with the procurement and allocation of prizes for all events with the fundraising support manager and the fundraising teams full support.

Systems and Procedures

  • Ensure cost-effective time management to achieve an agreed return on investment for the Events Team, as well as for the Fundraising Team as a whole.
  • Ensure careful planning, risk assessment, and evaluation of all fundraising activities, so that they comply with charity law and the Codes of Fundraising Practice and Code of Conduct.
  • Ensure that all activities and contacts are managed though the Donorflex system and that data is kept up to date and managed in accordance with the Data Protection Act.
  • Attend and contribute to Fundraising Team meetings.
  • Participate in monthly one-to-one meetings with the Events and Sponsorship Manager and upon occasion with the Director of Fundraising to update on progress in achieving plans and budgets for the events team.

Training and Development

  • To take a proactive role in personal training and development.
  • To keep up-to-date with new developments, legalities, codes of conduct and best practice within both community and the wider fundraising sector.
  • To take an active role in the development of the Fundraising Team through cross-team working, team meetings, planning and budgeting.

Any other Duties

  • To carry out any other duties within the general scope of the post as directed by the Director of Fundraising.
  • To provide support to other members of the fundraising team as necessary.
  • To represent the Fundraising Team and the charity at events as and when required. This will also involve accepting cheques and giving presentations on behalf of the charity. As many activities are held on evenings and weekends the post will involve some unsocial hours, for which time off In lieu (TOIL) will be given.
  • To take responsibility for personal health and safety and that of colleagues and visitors.

PERSON SPECIFICATION

Essential / Desirable
Qualifications / Be educated to degree level.
Hold a full UK driving licence. / Be a member of the Institute of Fundraising.
Hold a degree in Event Management / Marketing or similar.
Experience / Have event management experience. / Have experience in managing sponsorship and community fundraising events such as fundraising balls and mass participation events.
Skills / Have excellent event planning and organising skills.
Drive and enthusiasm to make things happen.
Have excellent interpersonal skills and the ability to communicate effectively – orally and in writing – at all levels.
Have excellent personal organisation skills, including time management.
Numerate and IT literate.
Have demonstrable experience of marketing and the print and production process. / Have direct experience of marketing and sales.
Have experience of using a contact management database, such as Donorflex.
Be proficient at managing all types of information, particularly budgetary and working with Microsoft Excel.
Knowledge/Understanding / Training in Health and Safety and Risk Management. / NEBOSH and or IOSH qualification.
