Tara Barthel’s Resource Table Instruction Guide

Thank you for volunteering to help with the Resource Table! Your service is a tremendous blessing and I am grateful.

I hope that this document provides you with the information you need. Please do not hesitate to ask me any questions at the event, and you are welcome to contact me before the event by emailing or texting/calling me at 406-670-9658.

If at all possible, it would be great if your event could meet the following specifications for the resource table. But of course I’m happy to work with whatever you can provide! Please just let me know if we need to tweak/customize anything for your event.

Getting Ready for the Event’s Resource Table

  1. If your event is 100 women or less, please plan to use one or two standard (eight foot) rectangle-shaped table(s). (For events of 150+ women, it would be great to have three or four tables—setting them up in an “L” configuration often works well.)
  1. Please put table cloths and skirts on the tables.
  1. (Very important!) Please place the tables in the most highly-trafficked area of the event. This usually this means in the back of the same room as Tara’s teaching sessions or in the foyer just outside of the teaching session rooms. (The books don’t usually reach/encourage your women if you put the resource table off in a separate room or down a hallway/stairs, etc.)
  1. If at all possible, please review this instruction guide in its entirety and provide a copy to all resource table volunteers. Please note that there is a special section for event hosts toward the end of this document.

Unpacking the Boxes & Setting Up the Resource Table

  1. When you unpack the boxes, you will probably find a large quantity of Peacemaking Principles Pamphlets. These are not to be sold on the resource table. Please inventory them and then give them to theevent host to be given to the attendees at her discretion. (Usually they are handed out with the registration materials with Tara’s handouts.)
  1. Please save all packing material and boxes. Although I almost always sell-out my resource tables, it is good to have the boxes and packing material just in case anything needs to be shipped back.
  1. Please carefully inventory all of the materials using the checklist at the end of this document. (The starting and ending inventories are how I reconcile each resource table so it is very important that these numbers are accurate.)
  1. Please layout the materials, in general, as I have described below. I will bring along price signs and bookstands to better display the materials. And I will need approximately 30 minutes by myself to do a final “tweaking”of the table when I arrive.

Selling Resources at the Event

If you have time, you may want to look through the materials to become acquainted with them. If time allows and the event host so approves, I’d love to do a little “orientation” time as well.

A few things to note:

  1. Ican accept cash, personal checks made out to Tara Barthel, or payments on a credit or debit card via PayPal. (The PayPal payments are made by swiping the credit card into a device on a cell phone. Ideally, if you have a resource table volunteer with an iPhone 6 or earlier—the kind that takes the standard headphone jack—and that volunteer is willing to download the PayPal app, I will log them in and they can take credit card payments directly into our account at any time. Otherwise, we will need to use my telephone which is fine—it just won’t be available Friday night after my session or early Saturday morning. Either way, I will explain and demonstrate this system for the person in charge of your booktable when I arrive. If your team is not comfortable with technology like this, I am happy to do all of the credit card processing myself whenever I am available on breaks.)
  1. You do nothave to fill out a (white) “receipt” for each order, but they are available if someone needs one. They can also be very helpful to totaling up large sales because you can mark the receipt and then use a calculator to add them up. (I’ll bring the receipts with me.)
  1. If we run out of something, people can pay in advanceand orderto be shippedusing thePINKorder form. (The cost is higher on the pink form because of postage.) You will need to initial/sign the PINK order form to indicate that you’ve collected the money.
  1. If your event host so allows, I also have some yellow IOU forms that allow people to take resources NOW and send me a check when they get home. There are two parts to an IOU: 1) The person fills out the (large) form listing everything they took and their name, address, phone, and email, and the amount that they owe our family; 2) The person takes the (small) reminder slip telling them how much they owe and my address (to send payment).
  1. Please note: prices are often lowerthan may be marked on the actual items. This is because I get to purchase the resources for a discounted price and then I can pass along a portion of that discount to the ladies. I love getting to do this! So please use the prices on my signs and receipts, not the prices on the backs of books.

A Few Notes for Event Hosts

  1. This resource table is meant to bless your women! So please feel free to glance at the inventory list below and then visit P&R Books ( CCEF ( or Crossway ( and to see if there are any items that I should have included for your event that aren’t already listed. I would be happy to customize my order so that I bring the exact quantities of the exact items that you would like at your event.
  1. It really works best to have one volunteer oversee the booktable for the entire event (even if she has helpers come and go at different times). Otherwise, these instructions (and how busy the booktable gets!) can feel overwhelming if people are rotating in and out constantly throughout the event.
  1. I do notusually bring a “cash box” or any change along with me—I’ve found that most people write checks and the whole cash thing usually works itself out fine for most events. However, if you would like to provide a cash box with some singles (we always run out of $1’s) and $5’s, that would be great with me. Just please be sure: a) That you assign one of your volunteers to be responsible for the money; and b) That you note how much cash was in the cashbox at the beginning of the event so that we can be sure to get those funds back to your event at the conclusion of the event.
  1. If your event would like to completely run the resource table, that is great with me. In that situation, you could have the checks made payable to YOU, collect all of the cash and credit card sales for yourself (if you have the ability to accept credit cards), and then simply cut me one check at the end of the event for all sales. Please just let me know if you would like to do this.
  1. As you think through the schedule for the booktable, I encourage you to have at least one volunteer at the table 30 minutes or so prior to the start of your event (ideally, the person responsible for overseeing the booktable) and available for a few minutes at the close of the Friday night session. (We’re not usually that busy Friday night because I don’t mention any resources during the first session.) The busiest time for us will probably be during the break between the two Saturday morning sessions and the break before lunch/over the lunch hour. We usually have some pretty consistent traffic before the final session too.)
  1. Usually, my resource tables completely sell-out. However, if there are resources left over at the conclusion of your event, you have a few options:
  1. You are welcome tokeep the resources for your women and simply have your event/organization send me a check after the event for the balance of the sales.
  2. In the alternative, I would be happy to return anything that does not sell and is still in new condition. In that situation, I will take full responsibility for packing up any boxes that need to be returned. (That way, if something becomes damaged in shipping because it was not packed properly, I am responsible.)
  3. To do so, please be sure that your booktable volunteers have at least one roll of sturdy, clear packing tapeso that we will have that readily available at the conclusion of your event if needed.
  4. I will try to fit everything that needs to be returned into my suitcase and/or checked luggage (if that is your preference). But if something needs to be sent to me in the mail, you can send it any way you would like (UPS, post office/media mail), but please be sure to INSURE the box(es) and ship them to my home address: Tara Barthel, 929 Alderson Ave., BillingsMT59101.
