PART I
GENERAL INFORMATION
I-1.Purpose
The purpose of this RFI is to gather information related to Managed Print Services. This Request for Information (RFI) provides an opportunity to provide feedbackto the Office of Administration, Office for Information Technology Procurement,for its consideration in thedevelopment of a new servicecategoryfor Managed Print Services(MPS) which will be added to the Master Information Technology Services Invitation to Qualify Contract, #4400004480 (“IT ITQ”). All IT ITQ policies, procedures and terms will apply.
By adding an MPS service category to the IT ITQ, the Commonwealth is looking to enable remote and secure installation, configuration, maintenance, monitoring, and management of a printing environment. The services may include:
- Assessment of current printing environment and infrastructure including recommendations.
- Installation and configuration of printing devices.
- Use of print management software to manage the volume and nature of a printing environment and to authenticate users.
- Use of device management software to monitor and manage the printing devices in an environment.
- Use of discovery and design software to analyze and plan for the change required in implementing a managed print environment.
- Use of scan routing software to route scans to various destinations including fax servers, network folders, email or workflows.
- Proactive maintenance and technical support of printing devices.
- Ongoing optimization of the printing environment throughout the contract life.
The MPS service categorywill cover the following printing devices: printers, copiers, multifunction devices (MFDs) and other miscellaneous devices.
Note:Acontractor who is qualified on the IT ITQ Contract, must purchase all remanufactured toner through the Pennsylvania Industries for the Blind and Handicap (PIBH).
I-2.Issuing Office
The Office of Administration, Office for Information Technology Procurement (Issuing Office), has issued this RFI on behalf of the Commonwealth. The sole point of contact in the Commonwealth for this RFIis Joe Millovich (), 613 North St., Finance Building – Rm. 5, Harrisburg, PA 17120, the Issuing Officer for this RFI. Please refer all inquiries to the Issuing Officer.
I-3.Response Instructions
Responders are asked to complete Attachment A – Response Template. The topics in Attachment Aare being presented to solicit feedback that will help the Commonwealth to prepare the final service category definition. Responders may submit additional information that may aid the Commonwealthin developing the new MPS servicecategory.
This RFI is for information and planning purposes only and does constitute nor should it be construed as a solicitation or as an obligation on the part of the Commonwealth to issue a procurementor award a contract. The Commonwealth will not pay for the preparation of any information submitted to the Commonwealth or for the Commonwealth’s use of such information. The Commonwealth may, in its sole discretion, use information provided in response to this RFI. It is not, however, obligated to use any information so received.
