NOTICE OF THE ANNUAL GENERAL MEETING
(For Members only)
The Annual General Meeting of the Association will be held on Saturday, May 13, 2017 at 3:00 p.m. in Dr. TrigunaSen Auditorium of the Association.
You are earnestly requested to be present in the meeting.

AGENDA :
(1)To confirm the minutes of the last Annual General Meeting of the Association held on 14th & 21st May 2016.
(2)To receive, consider & adopt the Annual Report (2016-2017).
(3)To receive and accept the Audited Accounts of the Association for the period 01.04.2016 to 31.3.2017.
(4)To consider and adopt the budget for the year, 2017-2018.
(5)To conduct the Annual election of the members of the Executive Committee for the year 2017-20.
(6)To appoint the Auditor for the financial year 2017-2018.
(7)Any other matter with the permission of the chair.
- The names of the EC Members, who are retiring this year after completing 3 years tenure, are given below : -
- Sri RanjitSen Gupta ’61 ME
- Smt. BananiSengupta ’79 Sans
- Smt. BarnaliKar ’91 EE
- Smt. NilaGoswami ’86 MA (Edu)
- Sri Kalyan Kumar Das ’63 Ch.E
The above mentioned retiring EC members are not eligible for contesting election in this year.
- Nominations from the Life Members of 5 years standing are invited for the EC Members of the Category of the years 2017-2018, 2018-2019 and 2019-2020 to fill up the vacant places of the above five retiring EC members.
- 5 (five) junior most EC members from (2012-2016) are to be elected for the period of 2017-2018. Nominations are invited.
MEMBERS TO NOTE
- We invite nomination papers for the election of EC members in place of aforesaid retiring members. Nomination forms will be available from Alumni Office from
30th March 2017 to 25th April 2017 from 3 p.m. to 7 p.m. and to be submitted latest by 26th April, 2017 by 6 PM in the Alumni Office.
Nomination Forms duly filled in should be submitted in a sealed Envelope addressed to Election Officer.
- Eligibility of intending Candidates for Executive Committee must be members of five years standing for their candidature as per Clause 4.1 of By-Laws of Association reproduced below.
- Eligibility of intending Candidates for 5 (five) junior most EC members passed out between the years 2012 and 2016
- Date of Scrutiny of Nomination forms on 27th April, 2017
- Announcement of eligible candidates after scrutiny on 28th April, 2017.
- Last date of withdrawal of candidature 4th May,2017
- Announcement of final List of eligible candidate after withdrawal on 6th May 2017.
- Intending candidates are requested to note clause 4.1 of Association’s Bye-Laws reproduced below.
- Election will be held on AGM Day.
- Members are requested to note that member without Alumni Membership Identity Card or any other Photo Identity Card will not be allowed to take part in Election Procedure. 0
- By-Laws 4.0:Election Procedure:
Under Clause 10.2 of the Regulations stipulates that the election of office bearers and elected members of the Association will be held at the Annual General Meeting (AGM). The following procedure shall be followed for the election.
- Clause 4.1 of By-Laws: Along with the AGM notice the Secretary shall circulate a notice informing the positions forwhich elections are to be held, the qualifications of the candidates required and inviting nominations.The deadlines for receipt of such nomination papers will be at least one week before the date of the AGM. Each nomination will have to be proposed by a regular member and seconded by another regular member and must carry a written consent of the nominee. In addition to such nominations, the EC will generate a panel of names, one for election to each position for which elections are to be held, as far as possible. Written consent will have to be obtained by the EC for the persons named in the panel.”
