Reporting to: Faculty Placements Manager

The Purpose of the Role:

Working within the Faculty Teaching & Learning Team and alongside the Faculty External Relations Team the roleholder will deliver relevant elements of the Faculty’s recruitment and marketing strategy. The role has a strong focus on the following: recruitment and conversion activities for undergraduate students across the Faculty, events management and scholarship coordination and development.

The role holder will also be responsible for developing, coordinating and running a roadshow of outreach activities to promote the new Aerospace course to strategic feeder schools and to a national audience in order to increase the recruitment of high calibre students. Travel to external stakeholders and attendance at events will form an important part of this position and a flexible approach to working patterns is therefore required.

Main Responsibilities:

Main Responsibilities
1. / Event promotion and management
Deliver a roadshow of events to feeder schools around the country to promote Faculty of Engineering courses in particular the new Aerospace undergraduate degree course. This will involve:
·  Designing and delivering a series of workshops and ‘hands-on’ activities and lectures which are linked to the National Curriculum (specifically years 9-12) in conjunction with the admissions group
·  Working with the EMT to develop a full range of promotional materials to market the workshops and promote the course
·  Building partnerships with feeder schools
·  Supporting high profile STEM events
·  Supporting University wide initiatives (eg. May Fest)
·  Managing the design, promotion and logistics for each event
·  Producing risk assessments for each event
·  Establishing evaluation mechanisms for events to establish success and implement any necessary improvements
2. / Sponsored Scholarship and Prizes Co-ordination
Administer any Aerospace related scholarships and prizes working in conjunction with the Business Engagement & Placement Officer and the Development Office including:
·  Responding to queries from students, for example in relation to scholarship opportunities;
·  Supporting academics and the Student Experience Team to advise students on all matters relating to such scholarships;
·  Promoting the scholarships offer to both staff and students including developing information resources;
·  Ensuring scholarship opportunities are promoted at Open Days and other events;
·  Working with central Student Support to agree procedures for awarding and administering scholarships;
·  Managing the scholarship payments
·  Producing progress reports and presenting these to Faculty groups as required
3. / Recruitment and Conversion
§  Provide copy, content & student case studies to the Engineering Marketing and Communications Team in order to develop a cohesive range of course brochures and flyers to be used at open days and recruitment events
§  Working with the Engineering Marketing and Communications Team on university wide recruitment events such as Open Days to ensure maximum exposure
§  Developing an aerospace specific recruitment and conversion plan for the UG cycle in conjunction with the Engineering Marketing and Communications Team
§  Liaising with colleagues in key departments such as international office and external relations to assess all potential recruitment and conversion tactics and opportunities.
§  Maintaining potential external promotional channels such as UCAS course collect and The Student Room.
§  Liaising with external design agencies on occasion and complete creative briefs for recruitment and conversion campaigns where applicable.
Market intelligence
Under the guidance of the Faculty Strategic Intelligence Manager:
-  Use MI Hub and UCAS online to identify competitor institutions and institution market share.
-  Monitor key competitor institutions USPs online and offline to ensure any changes are identified.
-  Work closely with the University’s market intelligence and teaching and learning teams to inform further national and international target markets.
-  Work closely with the Faculty Web Coordinator to monitor online analytical software i.e. Google Analytics, and adapt marketing and communications activity if required.
-  Be aware of the latest market research and key trends in higher education and make recommendations on marketing activity based on these findings.
4. / Communicating with Students, Donors and Alumni
Develop, co-ordinate and manage the communications strategy for student development opportunities including:
·  Maintaining appropriate communication channels with Faculty students for example aerospace web pages and exploring the use of social media
·  Recruit, train and manage a cohort of Aerospace student ambassadors to use at events
·  Developing a coherent and effective approach to promoting student opportunities such as scholarships, prizes, placements, internships etc;
·  Dealing with and, if appropriate, referring any student issues/complaints picked up through social media;
Working with the Alumni Office, maintain contact with alumni via social media and:
·  Maintain student ambassador alumni relationships and further develop key industrial partners through this means
·  Attend initial meetings with donors and the campaign office to discuss opportunities
·  Work with campaign office and student finance to agree and prepare applications processes where necessary
·  Promote any funding opportunities with staff and students
5. / Executive Support
Provide the Aerospace Course Director with executive assistance including providing support for relevant committees, working closely with the Committee Chair.
6. / Additional tasks
-  Keep up-to-date with key issues and hot topics in recruitment and education and continually establish and develop information sources as the basis for copy.
-  Liaise with external design agencies on occasion and complete creative briefs for recruitment and conversion campaigns where applicable.
-  Where necessary, attend faculty meetings, steering groups and boards on behalf of the Teaching and Learning team and Aerospace team.
-  Attend away days and team meetings as required.
-  Set up and manage hardcopy and electronic filing systems.
-  Represent the University and faculty at open days, HE Fairs and other recruitment related events.


Knowledge, Skills, Qualifications & Experience

Additional Information

The Faculty of Engineering is a large, multi-site organisation with about 3,500 undergraduate and postgraduate taught students and more than 600 staff in Nottingham, with almost all its programmes mirrored at both Malaysia and China campuses. To underpin this, Engineering’s teaching and learning support is a comprehensive faculty-wide structure.

The role holder is required to ensure that the different sites fulfil Faculty and University policy. This is co-ordinated by building relationships (where no line management authority exists) with staff at all levels through negotiating and influencing and by taking into account the different structures of each area and their particular needs and adapting where possible, but within policy. The role involves working extensively with staff and managers, providing advice on policy and providing options and solutions to problems.

The person appointed will be a key member of Faculty Committees and has to maintain a good overview of changes within the University and externally to ensure that the Faculty is meeting requirements. Where gaps are identified, the role holder will draft and implement policy/systems/processes or will communicate and work with other personnel within the Faculty/University where policy change is likely to affect their role and new systems need introducing (systems management).
