Receptionist / IT Support / Admin Assistant

The Society of Jesus is a Roman Catholic religious order established in the 16th century and presently engaged in a wide variety of apostolic works here in the United Kingdom including education at all levels up to university, spirituality work, social justice concerns, pastoral provision and many other fields.

The Provincial Offices of the Society of Jesus in Britain are based in London (Mayfair) and provide the central administration for much of the work of the Jesuits in Britain. There are about fifteen people working in the office covering general and financial administration, media, fundraising, healthcare and other related works.

We currently have a vacancy for an individual who can provide a high standard of written and spoken English and has the ability to communicate with people at all levels confidently and courteously. Attention to detail is important and the right applicant must be able to work as an approachable team member.

All applicants should be accomplished in IT skills across all Microsoft packages.

This is a post for an all-rounder, therefore applicants must also be flexible where necessary.

Main Responsibilities

Answering the switchboard 9.00 – 5.00 pm. Screening all incoming calls in an efficient and courteous manner and assisting callers where possible

Welcoming all visitors andoffering and providing refreshments

Responsible for keeping the reception area tidy

Keep Outlook diaries up to date. Prepare for meetings,provide refreshments andtidy up on conclusion of meetings

Maintain office filing systems for all departments

Scanning of documents for electronic filing

General typing of letters, excel spread sheets, emails etc as required

Dealing with general e-mail enquiries

General photocopying

Mailto be collected daily and distributed. Franking of outgoing post with visits to post office when required. Maintenance of franking machine

Assisting with bulk mailings on a regular basis

Occasional shopping for kitchen supplies, refreshments and preparing for working lunches. Keep kitchen tidy, wash up after meetings etc. ordering of internal weekly kitchen supplies

Stock taking and ordering of stationery

Following training, maintain Access and INVU databases

Other ad-hoc tasks as required

Salary

In the region of £20 - 23k (negotiable, depending on experience)
