Quick Reference Guide to Create a PeopleSoft Requisition

  1. Open Browser, navigate to PeopleSoft Purchasing Module Sign In Screen
  2. Campus Resources  Procurement  PeopleSoft  PeopleSoft Production
  3. Sign in using your PeopleSoft Financials User ID and Password (Case Sensitive)
  4. Navigate to Add a Requisition

Purchasing  Requisitions  Maintain Requisitions  Add a New Value  Add

  1. Add the Header Defaults – Vendor, Buyer, Ship Date. If you don’t know which Buyer to select, select Blair Blankinship and he will assign the work.
  • Header Defaults  Look Up Vendor (type part of name in “Short Vendor Name” field, click Look up  Select vendor
  • Click magnifying glass icon for list of Buyers – select Buyer
  • Click on calendar icon – select date by clicking on date (on calendar)
  • Click OK at bottom left of screen to finish entry of Header Defaults
  1. Enter Description, Quantity, Unit of Measure, Category, Price
  • Click in Description and type or copy-and-paste
  • Enter quantity
  • Enter or select Unit of Measure (UOM)
  • Find Category - Click magnifying glass icon, type part of the general description of item in “Description” field, click Look up  Select category
  • Enter price
  • Save
  1. TO CHANGE CHARTFIELD DISTRIBUTION (indicate a different source of funds):
  • Click Tab labeled “Schedule”
  • Click Hypertext Link “Distribution”
  • Change Department, Fund Program (and Grant/Project) as necessary.
  • Click button labeled OK.
  • Click Save
  1. TO ADD A NEW LINE
  • Retrieve the Requisition – Purchasing  Requisitions  Maintain Requisitions  Find an Existing Value  Search Click on Requisition Number
  • Scroll all the way to the right
  • Click the button with the Plus Sign “+”
  • See the dialog box where you will enter the number of lines to add
  • Click “OK”
  1. AMOUNT APPROVAL

In the main menu click “Approve Amount”

Click Search

Click on your requisition number in the list.

Review the amount and click save (or click cancel, and change the requisition).

APPROVE CHARTFIELD

In the main menu click “Approve Chartfield”

Click Search (if necessary)

Click on your requisition number in the list.

Review the “chartfield information” and click save (or click cancel, and change the requisition).

BUDGET CHECK THE REQUISITION

Click the Budget Check icon in the upper right corner of the Requisition “Form” panel.

REVIEW DOCUMENT STATUS

In the main menu click “Review Requisition Information”

Click Document Status

Click the button labeled “Search”

Click on your requisition number in the list.

Note the status under the blue bar labeled “Associated Documents”
