REGULAR BOARD MEETING MINUTES
March 21, 2013
Minutes taken for the Board Meeting held on March 21, 2013 in the Harvest Community Church located at 21235 NW Quatama Ave, Beaverton, OR 97006
CALL TO ORDER
Damon Doelger called the regular board meeting with the all board members to order at 6:37pm

Sunil Kapoor, Vice-President
Guest in Attendance – sitting with the board:
April Carroll – Community Manager, CMCA
Minutes
· Rob moved a motion to approve January meeting minutes. Dan seconded it. Approved unanimously.
Financials
We have total operating funds of $ 12,167.72 and are on track with the budget.
Total in the reserve fund: $15,065.02 which is fully funded.
Open Discussion
· Home owner from brought attention to the board that the HOA attorney has not responded back to their attorney after the letter last October
o The board asked April to follow-up with the attorney and ensure home owner’s issue is resolved and report back in the next meeting
COMMITTEES
Architectural Review Committee (Chair – Cathie Smith)
· The board discussed about the issue with on 189 NW 209th Ave and recommends the home owner to submit another ARC request
o Rob moved a motion asking to send another letter to the home owner about the offence and give 30 day’s notice to bring it down. Dan seconded it. Approved unanimously.
Neighborhood Watch Committee (Chair – Damon Doelger)
· Damon is taking over as the new neighborhood watch chair.
Landscape Committee (Chair – Damon Doelger)
· Damon is taking over as the new landscape chair.
Newsletter Committee (Chair – Arun Murugavel)
· Arun is taking over as the new Newsletter chair
· The board asked Arun to prepare the Spring Newsletter with tips for tree trimming and spring inspection info.
Social Committee (Chair - None)
· None.
Website Committee (Chair – Arun Murugavel)
· The board requested to update the website with info asking for board volunteers from the community
OLD BUSINESS
None.
NEW BUSINESS
· The board discussed about the major spring walk-through inspection of the neighborhood to happen in first week of May.
· Dan moved a motion to implement the planned spring bark dusting of HOA managed landscape. Rob seconded it. Approved unanimously.
EXECUTIVE SESSION
The board entered into an executive session at 7:53pm and closed at 8:14pm
ADJOURNMENT
· MOTION: Dan motioned to adjourn the March 21, 2013 Regular Board Meeting. Rob seconded the motion. Unanimously approved.
