1. Overview

This brief provides an overview of the data provided in the Performance Database Annual Monitoring 2011-12 Qlikview model.

To access the Annual Monitoring student performance database 2011-12 click on thelink below and select the model titled ‘Annual Monitoring’.

The database captures student performance data at course and module level, you are able to drill down to individual student results within the module.

The data in the model is static, however, for on-going use after the Annual Monitoring Process, the data will be made dynamic and will update on a daily basis. For the purposes of Annual Monitoring it has been made static so that people may prepare their Annual Monitoring Report without it changing during that time. The data included in the model is listed insection 3.

Associate College data is included in the model, Associate Colleges will receive separate report packs for their student performance as they do not have access to Qlikview.

Student performance data is drawn directly from SITS, should you find a discrepancy with the data please e-mail Ruth Bourne,Assistant Director, Academic Office so that she may investigate and work with the appropriate data owner to correct the error.

3. Data Presented in the Model

There are text fields within the model stating what data is on the screen and all tables are titled clearly tostate what information is presented.There areReturn to/Proceed tonavigation buttons between some screens to move between tabs. Please see below for a list of data per tab (tabs run across the top of the screen).

N.B. Do not use the System tab at the end, this is a background tab which is not part of your options.

4. How to Get Started: Tab Guide

This section gives you a brief guide on navigating the Annual Monitoring student performance database on Qlikview. TheTips provided give you short-cuts or pointers.

Departmental Summary Tab

The Departmental Summary tab provides you with a snapshot of student performance in the department.

  1. Click on theProceed to Departmental Summarybuttonon the Welcome tab, this will take you to the Departmental Summary tab

Tip: follow the Selectinstructional boxes at the top of the tab to guide you through your selections

  1. Select the Faculty by clicking on the appropriate Faculty button
  2. Click on the Core or Partners buttons or skip this step if you want to see both selections
  3. Select the department from the Department Name drop down field in the Select your Department field

This will give you the Departmental Summary for the department, the data presented in the tables is listed in the Data by Tab Table above.

  1. To find a course, select the level of study from the Level of Studydrop down field to narrow the Course search;the data in the tables will change to reflect this selection. To de-select the option click once on the same field again.
  2. To narrow your search, click on a field on any table in the Departmental Summary tab to narrow the summary data selection, e.g. Chelmsford delivery, see example below
  3. Click on the field again to de-select
  4. Click on the expand/restore and minimise icons to enlarge and shrink the table in order to view all the data, see icon highlighted and minimised table below

Tip: you can move the tables around the screen and re-size for a better layout on the screen.

  1. Use the Clear all Sectionsbutton in the top right of the screen to make another Departmental Summary selection
  2. Click on the Proceed to Course Data button to take you to the Course Data tab to view the course level data for the current selection

Tip: if you want to search again within the same Faculty, click again on the Department field from Step 4 and only clear the department selection instead of carrying out Step 9 to clear all selections.

Course Data Tab

TheCourse Data tab allows you to look at performance data in detail by course, the data presented is listed in the Data by TabTable above.The model includes courses that are being run out so you may see more courses per department than expected.

Note that table 5. Completion Rate for UG degree course only shows the number of students who were expected to graduate compared to the number who actually did graduate, i.e. 2009-10 cohort who started on Year 1 of the course, 2010-11 cohort who started on Year 2 of the course.

  1. The Course Datascreen will look very busy with eight tables visible, example below

  1. Use the minimise buttons to hide tables you are not looking at, or drag and resize tables to make the view less cluttered
  2. To select a specific course if you are in a Departmental view, select the level of study in the Level of Study field at the top of the screen to reduce the course selection (optional step)
  3. Select the desired course using the Course Name or Course Code fields in the Select Course to View table as below, your selections will appear in the blue field

Tip: Remember, an alternate method of making a selection is to click once on the field in a table to select for example a course or location, click once again to de-select the selection.

The example below is for a Chelmsford delivery site selection in a Department with four of the tables minimised.

  1. Select the Proceed to Course Level Student Satisfaction button to view the student satisfaction results for the selection you have made
  2. Or select the Proceed to Module Performance for the selected course button

Tip:you can use the tabs across the top of the database to move between screens instead of Steps 5 and 6.

Course Level Student Satisfaction Tab

The Course Level Student Satisfaction tab contains the NSS and Student Experience Survey (SES) results. Only academic questions in the SES are included, those that relate to support services have not been included as they are not relevant for the purposes of the annual monitoring process.

  1. These two tables of results are wider than most monitor screens, use the bottom navigation bar of your web browser to view the right of the screen and use the maximise and restore buttons to view the results in full

Tip: this screen is useful to view all NSS and SES results per department for comparison as below

  1. Select theReturn to Course Data button to change your course selection
  2. Or select theProceed to Module Performance Data button to review the module level data for the selection that you have made

Module Performance Tab

The Module Performance tab shows all modules that students are studying on theselected course including those taught by other departments or Faculties for example a language course. The module satisfaction score will therefore include students studying on different courses.

  1. Click on a module title to view performance of that moduleon all occurrences and delivery sites, click on the module title again to de-select
  2. Click on a delivery site to view performance of a course at a particular delivery site, click on the delivery site again to de-select
  1. It may be useful to export the performance data to Excel if you want to order the data by Pass Rate, Average Mark, Module Satisfaction score, refer to the Tips section on how to export data.
  2. The module performance overall pass rate codes are as follows,

Red80% and below Amberbetween 80.9 – 84.9%Green 85% and above

See below for an example of a selection of one module across all delivery sites (the red scores indicate marks have not been imported to SITSyet)

  1. Select the Return to Course Data button to change your course selection
  2. Or select the Proceed to Student Level Performance Data button to review the individual student performance by module and award for the selection that you have made

Student Level Performance Tab

The Student Level Performance tab provides student performance data by module and award.

  1. When viewing by a course, all modules that the students are taking for that selection will be displayed including those taught by other departments and Faculties
  2. To view student performance on a specific module, click on a Module Name or Course Name/Code field and check that all delivery sites and occurrences are not selected
  3. When viewing by a department click on a module/course/delivery site to quickly compare student performance, click again to de-select

The example below shows one Faculty’s undergraduate courses at one site.

Tip: a green spot will appear in any field selection you have made.

  1. Select the Return to Course Data Tabbutton to change your course selection
  2. Or select the Return to Module Performance Data button to change your module selection

5. Tips

Below are some useful tips on using theAnnual Monitoring student performance database on Qlikview including how to export data to Excel.

My Screen Has Frozen

The screen may take a few seconds to connect with the server particularly if you are selecting a large amount of data. To help reduce this from happening make several high level selections to reduce the parameter of your search, i.e. select Faculty and Department/Level of Study/Location.

If the screen freezes and will not upload the data, click on the refresh button in your web browser, see below, this will take you back to the Welcome tab but will clear all your selections.

What have I selected?

The blue field in the bottom right of the screen of the Course Data tab shows you what selections you have made.Use the eraser icon in the field to deselect options.

Any tabs that have a selection made are indicated by a green spot in the corresponding tab and table field.

How to Export to Excel

  1. Select the Export icon highlighted below,next to the printer icon
  2. Depending on your desktop you will receive a notification pop up field to prompt you to open or save the file
  3. The data will be opened in separate Excel file which can be ordered using filters or pivot tables to identify highest and lowest performance
  4. Open the file and save to your j:drive or desktop

Clear selection

If you have chosen too many selections and cannot get back to where you want, return to the Departmental Summary tab, clear all selection using the Clear All Selections button at the top right of the screen to start again.

I cannot find a course

If you cannot find a course, try widening the selection by selecting a department in the Departmental Summary tab but do not select a Level of Study. Go to the Course Data tab and maximise table 1.Number of Students to view all courses in your department. It could be that the course level needs correcting in SITS.

If you cannot find a course in your department, return to the Department Summary tab, Clear All Selections and select your Faculty, do not select a department and click theProceed to Course Data button. This will take a few seconds to upload as you are selecting all the courses in the Faculty. Select the course you are looking for by using the (optional Level of Studyfield), and Select Course to Viewoptions. Please then e-mail Ruth Bourne to advise which Department the course needs to be associated to so that it can be remedied in SITS.

Allocated memory exceeded

You may experience a message stating ‘allocated memory exceeded’, this can happen if the selection you have chosen is too large to download or the server is running slowly. Try narrowing the search selection before maximising a table, e.g. select a group of courses by level or mode of delivery.
