Position Information

Under the general direction of the Financial Administrative Officer (FAO), the Chair and the faculty of the Mechanical Engineering Department, the incumbent's major functional areas of responsibility include: 1) Purchasing/Travel Administration, 2) Academic/Staff Personnel Administration, 3) Preparer for general fund (19900) on-line PPS transactions, 4) Equipment Management and Inventory, 5) Front Desk Responsibilities.
Responsible for processing approximately 1,400 purchase orders annually using UCR's online e-buy and procard systems. Responsible for researching product's best price, quality, availability, and delivery from contract and non-contract vendors. Processes all reimbursements (general/entertainment) as well as all travel vouchers via the on-line systems. Serves as the PPS (payroll/personnel systems) preparer as well as processes personnel forms related to staff and academic employees, which includes all temporary and permanent academic faculty, lecturers, graduate student researchers, teaching assistants and staff appointments for approximately 100 employees ensuring UC policies and procedures are maintained. Assists the FAO with both faculty and graduate student recruitment and serves as event coordinator. Serves as the department's contact for various campus services such as Fleet, Storehouse, Parking, Printing, Communications, Physical Plant, Equipment Management, and Facilities. The incumbent must be able to maintain confidentiality and have exceptional interpersonal skills as well as have demonstrated experience working with a diverse student, staff and faculty population. The incumbent must be proficient with UC Personnel and Purchasing Policies and procedures. The incumbent must have the demonstrated ability to multi-task while paying strict attention to the details, and double checking for accuracy.

Minimum Requirements

Education and/or experience equivalent to a Bachelor's degree in accounting or a related field.
Demonstrated progressive personnel and academic affairs related experience.
Skill in performing statistical computations such as variance analysis, simple and weighted average computations, and other mathematical analyses. Strong analytical skills and ability to independently research analyze and use good judgment in resolving problems.
Knowledge of generally accepted accounting principles and fund accounting.
Skill and ability to independently research analyze and use good judgment in resolving problems.
Ability to independently compose letters and memos using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills. Skill in reading and understanding complex and/or detailed documents such as proposals, contracts, Policies, and procedures.
Skill in accurate record-keeping and database management with strict attention to detail.
Ability to organize and prioritize workload to ensure multiple deadlines are met.
Ability and skill to proficiently operate a PC for establishing and maintaining complex databases, and providing reports on a monthly basis using Excel and Microsoft Word, ACCESS or other comparable software.
Ability to interact and communicate effectively, both orally and in writing, with faculty, staff and personnel in various campus departments. Ability to communicate with people who have limited English skills.
