1.Welcome

Des Kitto welcomed everybody to the meeting and in light of some new faces present, brief introductions were made.

  1. Minutes of the last meeting held on 12th May 2005

The Minutes of the last meeting were agreed as a true accurate record.

  1. New Chair/Minute taker and future dates

A discussion took place around the frequency of meetings, and the group agreed to continue with meeting 4 times a year but there may be a need for a task and finish group to meet outside of the main meeting.

A discussion then took place about the Chair arrangements, Ann-Marie informed the group that the other two networks don’t have rotational chairs instead they have one chair who sits in post for a year. The group agreed that this should also apply in the S.Wales region and a vice chair should also support the chair. Des Kitto was nominated as chair and a majority vote confirmed his new post. It was felt appropriate that a non-Trust representative should be vice chair and network members agreed to give this some thought but as not all of the group was present it was agreed that an email would be sent to all requesting volunteers/nominations for vice chair. Ann-Marie agreed to be minute taker.

Marcus’ presentation provoked a group discussion about the network members experience of partnership working which included issues around who takes the lead on consultation issues, who is part of the partnership, the patient/public element, CHCs role.

  1. PPI Network letter/financial support

It was agreed that although the network letter stipulated that the S.Wales network would do some work around the conference it was felt more appropriate that this should be dealt with by the All-Wales group when it was set up.

Discussions then took place about a piece of work the group could look at instead. In particular the second topic “reaching out to communities, in particular hard to reach groups and sustaining public involvement”. This would involve partnership working as well as a clear definition of “hard to reach groups”. A model could be developed to achieve this. Ann-Marie advised the group that the M.W.Wales network were dealing with some elements of this topic – they have produced a tool kit for recruiting and retaining members of the public and patient representatives. So the group agreed to look at the other elements of the 2nd topic not covered by M.W.Wales.

A discussion then took place surrounding the definition of “hard to reach group”. Helen suggested hard reach groups are members of a certain section of community not accessing health care, e.g. ethnic community and travellers and the reason why they are hard to reach is due to cultural and language differences. Des informed the group off his recent work to obtain the views of youths by sitting on bus stops around the local estates. And highlighted the importance of the need to go to them rather than them coming to you as the same old faces can turn up at public meetings.

Ann-Marie fed back to the group the work of the other two regions. N.Wales are producing work around shaping health services locally and producing a tool kit to help support those carrying out a consultation as well as providing representation training sessions. M.W.Wales are producing a tool kit to help educate and raise awareness of the importance of PPI of patients/staff as well as producing a toolkit to assist in the recruitment and retention of patient representatives.

The group requested that they received feedback on the work of the other two regions on a regular basis.

6.Production of action plan

A group discussion took place on the piece of work the network would undertake. The outline of the discussion noted on flip charts are attached. It was agreed that a task and finish group should be established to achieve this work and Des requested those present who are interested to volunteer.

T&F group to include: Des Kitto, Barrie Ledbury, Stephen Allen, Tracey Good, Rhian Lewis and Nina Weaver.

It was agreed an email should be issued ASAP to all members of the network circulating the flip chart notes and requesting volunteers to join T&F group.
