RECORD OF PROCEEDINGS

November 16, 2016

The regular meeting of the Provincetown Landing II Townhouse Association Board of Directors was held at the Provincetown Landing Recreation Building. The following Directors were present or absent as noted:

Also present was Phillip Mills of Western States Property Services and several homeowners.

Call to Order - Wendell called the meeting to order at 6:00 pm. A quorum was present.

Minutes – The minutes of the regular meeting held October 19, 2016, were approved as submitted.

Committee Reports –

Architectural Control

·  #940 requested approval to replace the side garage door with an identical one. On motion by Carol, seconded by Nancy and duly passed, the request was approved.

·  $943 requested approval to install wrought iron railings at the front and rear entrances. On motion by Carol, seconded by Nancy and duly passed, the request was approved.

Landscape

·  Clearance pruning for the siding project is being arranged.

·  Pruning of the fruit trees will be done mid-winter.

Governing Document Review

·  Nancy reported that discussion meetings were held on October 20th and 22nd. Several, but not a lot, of homeowners attended. Comments and notes were compiled and sent to the attorney for revision of the documents. The Board will review the revised documents before mailing them out with ballots in early January.

Communication – Newsletter

·  Janie Heschele, editor, asked for more homeowners to supply e-mail addresses to reduce the hand-delivery chores.

Financial Reports Phil Mills reported on the October financial activity.

·  Ending balance of the Operating account - $47,298

·  Ending balance of the Reserve accounts -

o  RBC Insurance Reserve - $2,945,716

o  US Bank Reserve – regular - $489,620

·  Total Revenues (cash) - $32,610

·  Total Disbursements (cash) - $46,002

·  Operating expenses were $17,621under budget.

·  Delinquencies totaled $7,895; Prepaid Assessments were $9,730.

Property Manager’s Report Phil Mills reported on:

·  A Notice of Violation was sent to #929 for speeding and improper trash storage.

·  The prospective purchasers of #810 have withdrawn their request for a hardship leasing waiver.

·  A request to remove a tree and replace concrete in a fenced back yard was referred to the Association’s attorney. The opinion will be reviewed by the Board.

·  Several work orders were reviewed.

·  Platte Capital Projects has started washing and painting trim in two phases. Siding material was delivered to the Rec Association parking lot. The contractor, CCS, requested and received an initial draw to cover the material cost.

·  Two bids are on hand for gutter cleaning. A third is on its way.

Old Business

·  Scott Benglen, the Association’s public adjuster, gave a report on the suit against American Family Insurance on the bad faith claim. He expects a lot of depositions and document production requests and plans on the case coming to trial maybe in June or July.

·  President Tucker noted the siding progress and provided a map with the order that buildings will be worked on. Work will start in phases 5 and 3.

·  Nancy Madonna and Bill Coriell gave a progress report on getting homeowners to replace wooden garage doors before the siding project begins.

New Business

·  Wendell suggested that the Board have several roll-off dumpsters brought in so residents could dispose of oversized trash items.

Open Forum

·  Charlie Marshall said that Ball Painting had cleaned the gutters a few years ago and performed well.

Adjourn There being no further business to conduct, the meeting was declared adjourned at 6:40 pm. Due to the holidays, there will be no December Board meeting. The next regular meeting of the Board will be on Wednesday, January 18, 2017 at 6:00 pm in the Recreation Building.
