Job description: Administration Apprentice

Responsible to: Office Manager

Job purpose:

To provide general administrative support and a reprographics service to all staff within the Academy and to provide an efficient reception service to visitors and students.

Duties and responsibilities:

Provide administrative support to the general office by:

·  Undertaking reception duties, answering general telephone and face to face enquiries and signing in visitors and students (providing an excellent customer service)

·  Provide general/clerical admin support e.g. photocopying, filing, faxing, complete standard forms, respond to routine correspondence

·  Maintain manual and computerised records/management information systems and SIMs

·  Undertake typing and word-processing and other IT based tasks

·  Sort and distribute mail

·  Undertake administrative procedures

·  Maintain and collate student records/correspondence as and when required

·  Operate relevant equipment/ICT packages (e.g. word, excel, databases, spreadsheets, Internet)

·  help to maintain stock and supplies, distributing deliveries as required

·  Provide general advice and guidance to staff, students and others

·  Undertake routine administration e.g. latecomers, bus registers, contact lists and cashless catering

Providing reprographics support to the Academy by:

·  undertaking day to day photocopying for all faculties within Academy

·  undertaking duplicating, collating and binding of printed resource materials

·  undertaking laminating as requested

·  producing Academy documentation and resources as required

·  checking and maintaining supplies of Academy pro formas

·  replenishing paper supplies in all photocopiers within Academy

·  producing documents using networked equipment

General:

·  Be aware of and comply with all Academy policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

·  Be aware of and support difference and ensure equal opportunities for all

·  Contribute to the overall ethos/work/aims of the school

·  Appreciate and support the role of other professionals

·  Attend and participate in relevant meetings as required

·  Participate in training and other learning activities and performance development as required

·  Show a duty of care and take appropriate action to comply with health and safety requirements at all times

·  identifying own training needs and participating in training and performance development as required

In addition to the above the post holder must be committed to safeguarding and promoting the welfare of children and young people.

To undertake any other duties appropriate to the grade of the post.

Hours: 37 hours per week – term time plus 1 day

Core hours: 8.00 am – 4.00 pm Monday to Thursday (3.30 pm Friday) Lunch ½ hour
