Job Purpose / To provide comprehensive support for the repairs, maintenance and lettings teams.

Main Duties and Responsibilities
  1. Provide a range of support services to the R&M team, including responsive and planned repairs, lettings, gas servicing and contract works. Working flexibly to meet the needs of the service.
  1. Plan and allocate work using the repairs system to ensure that repairs are delivered within agreed priorities and timescales and the productivity of the operatives (currently 65) is maximised. Liaise with Contract Administrators and other relevant departments as and when required.
  2. Progressing repairs work, including assisting with the identification of problems that need further action and referring these to the Business Support Coordinator or Contract Administrators for resolution.
  3. Ensuring work is allocated and progressed appropriately to meet Six Town Housing performance indicators and deadlines e.g. void property turnaround, low levels of “no access” on gas servicing, appointment targets on responsive repairs and turnaround of invoices on contract work.
  4. Creating and maintaining electronic spreadsheets to produce a range of statistical information feeding into the performance measurements of the team.
  1. Updating in house databases and ICT systems to access and retrieve information to enable the day to day management of repairs and lettingsand produce reports, including appropriate audit trails and ensuring data accuracy.
  1. Assist with the monitoring of service budgets and maintain financial spreadsheets. Process requisitions of essential suppliers/services for customers and reconciling with invoices adhering to budgetary controls and identifying and resolving any discrepancies.
  1. Organising meetings for the Repairs and Maintenancee.g. gas servicing reviews and taking accurate minutes which provide a true record of decisions, actions and tasks agreed and distributing to the relevant parties within the agreed timescales
  1. Accurately update the intranet and internet to provide staff and the public with up to date information about the service.
  1. Maintain an accurate and up to date filing service for the repairs and lettings service as required.
  1. Provide an administrative support service including - validation of invoices, supplying financial coding information to ensure correct analysis, calculation of costings and materialsfrom worksheets and producing invoices, producing letters, minutes, and reports and maintaining up to date records
  1. Work closely with the customer contact centre to ensure that a seamless and high quality repairs service is provided to our customers.
  2. Assisting with training new staff and colleagues “on the job” within the team.
The post holder will be required to carry out any other duties commensurate with the role

Knowledge and Experience
Knowledge of office administration procedures and experience of their application in busy office environment.
Experience of delivering excellent customer services to a diverse community, including assisting people with language difficulties or vulnerabilities
